We are currently seeking an Operations Assistant to work within our accounting department to assist with accounts receivable, data entry and work within spreadsheets. You will have the opportunity to help out in additional areas of our business and grow within our team.


Responsibilities of Accounting / Operations Assistant:

  • Manage company Accounts Receivable cycle from billing through final payment collection.
  • Administer, create, manage and track all company invoices sent to clients.
  • Work with internal sales and operations teams to accelerate and close out jobs in a timely manner to promote positive cash flow.
  • Utilize various invoicing platforms including SAP Ariba, Apexanalytix, PIEE (Procurement Integrated Enterprise Environment), IPP Collector, etc. to submit invoices and track payments.
  • Complete client onboarding/ACH forms and obtain President’s signature.
  • Manage incoming company cash including check deposits, processing credit card transactions and identifying wire and ACH payments.
  • Manage client credit and collections including credit approvals, aging review and follow up on outstanding payments.
  • Generate daily, weekly and monthly reports for executive management including but not limited to job control, sales reports, aging review and month end close and associated reports.
  • Liaise with offsite Accounting team to ensure they have the most up to date and accurate company finance information.
  • Oversee and assist with Accounts Payable functions as needed.
  • Monthly reconciliation of Petty and Office bank accounts.
  • Monthly reconciliation of Executive’s credit card expenses.
  • Process employee expense reimbursement paperwork.
  • Work closely with company employees as appropriate, fostering a high level of teamwork and communications.
  • Be a consistent, positive contact for persons at all levels to support and foster the best client experience.


Qualifications for Accounting / Operations Assistant:

  • Completed Business Degree, Accounting Degree or 2 - 4 years of direct work experience with business/finance management or administration preferred. A degree in Film and/or Video Production is also acceptable if a candidate has finance, accounting, and/or business operations experience.
  • Prior experience working in a finance administration environment. Knowledge and/or interest in the media industry is helpful.


Skills Required for Accounting / Operations Assistant:

  • Excellent organizational, communication and interpersonal skills.
  • Must be detail oriented.
  • Experience with programs including Excel, Microsoft Word, Access and/or other types of database experience.
  • Familiarity with Payeezy, Paymode X, and/or Bill.com a plus.
  • Specialized Knowledge: Knowledge and interest in media production, digital platforms and or post-production industry and vocabulary helpful.

$45-50k + Benefits
