Operations & Program Manager

About the RoleWe’re looking for a highly organized and systems-minded Operations & Program Manager to support the internal operations that keep our community and programs thriving. This role is ideal for someone who enjoys working behind the scenes to make sure everything runs smoothly—from internal systems to people ops to program logistics.
You'll work closely with the CEO and cross-functional teams to oversee backend systems, coordinate team processes, support HR, and ensure seamless execution of our courses and workshops. While this role touches multiple areas, it leans heavily on operational efficiency, process follow-through, and detailed communication.
Key ResponsibilitiesYour time will be roughly split across the following focus areas:
Operational Systems (30%)
- Maintain backend tools like Hubspot, Google Workspace, Zapier, Notion, and our member platform. Maintain and build out automation, troubleshoot issues, and help document workflows and SOPs for the team.
Program & Course Operations (20%)
- Support course logistics, instructor communications, participant onboarding, scheduling, and space setup. Ensure meals, staffing, and program materials are organized and timely. Manage enrollment tracking and follow-up in Hubspot/Google Sheets with the support of a VA.
People Ops & Admin (20%)
- Coordinate onboarding/offboarding, employee and contractor documentation, benefits tracking, W9 collection, and invoice submission. Run payroll (via Gusto) and manage HR tools and internal handbooks.
Internal Project Coordination & Support (20%)
- Help prepare KPI dashboards and coordinate meetings, internal updates, and cross-functional timelines. Support ongoing process improvements and team communication.
VA Team Coordination (10%)
- Act as a point of contact for the virtual assistant team, helping with scheduling, onboarding, task clarity, and documentation.
