Description Job Overview: As an Operations Manager, you'll be responsible for coordinating all aspects of day-to-day management and supporting the General Manager through timely completion of assigned administrative and project duties. You will serve as a liaison to the community, enhance communication, enforce legal compliance, and oversee operations of the association and staff management. This opportunity is available in the River North neighborhood of Chicago, Illinois. Your Responsibilities: * Serve as the primary contact for Management Office communications, ensuring timely responses and resolutions. * Provide community leadership and guidance to ensure that the needs or desires of the homeowners are being addressed. * Ensure due diligence for the protection of client's funds, property, and assets against all reasonably foreseeable contingencies or losses. * Maintain a level of service excellence in all interactions with residents, vendors, staff, and colleagues with knowledge and enforcement of the Community Governing Documents. * Assess and monitor community needs: identify opportunities for improving service delivery methods and procedures and developing new programs. Select and collaborate with external vendor partners to implement programs or improvements. * Work closely with local emergency organizations to maintain established emergency and community evacuation plans as appropriate. * Perform building inspection of interior and exterior of property. Maintain on-site visibility throughout common areas and facilities. * Assist in updating Standard Operating Procedures (SOPs) and operating systems. * Oversee the Work Order Management system and processes, ensuring timely completion and follow-up. * Manage vendors, process warranties, and oversee unit remodeling and new construction projects. * Prepare for regular board and committee meetings, including the preparation of inspection, maintenance, vendor management, financial reports, and meeting minutes. Attend subsequent meetings and complete any necessary follow-up on action items. * In accordance with the Illinois Condo Act and FirstService Residential policies, comply with all codes and regulatory requirements for the property, including assessing and correcting any violations received by various regulatory agencies. Skills & Qualifications: * Active Community Association Manager license in the state of Illinois. * Understanding of physical building management, Condominium law, financial planning, and law affecting property management. * Works effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; addresses problems and issues constructively to find mutually acceptable and practical business solutions. * Possess budgetary knowledge and control for the purpose(s) of executing programs within the community as well as related activities that may be cost-shared for the benefit of the community. * Must possess a high energy attitude and an ability to multi-task/prioritize different projects at any given time. * Superior oral and written communication skills. * Community management experience or equivalent professional experience in a related field strongly preferred. Supervisory Responsibilities * Supervise management office and association staff members. Where applicable, association staff may be members of local unions. * Act as backup when the General Manager is on vacation, sick, or otherwise out of office. * Assist with after-hours emergencies when the General Manager is unavailable.
