Location: On-site at our Westlake location.

Schedule: Full-Time, Monday-Friday 8:30am-5:00pm. NO WEEKENDS, NO EVENINGS

POSITION PURPOSE: The Operations Manager ensures the safe, efficient, and professional operation of their assigned facility by overseeing non-clinical functions such as facility management, administrative support, regulatory compliance, and client-facing coordination. This role serves as a central liaison among families, staff, vendors, and leadership-promoting a respectful, solution-oriented environment grounded in exceptional customer service and team collaboration. The Operations Manager upholds high standards of operational excellence, protects client privacy, and models professionalism in all interactions to support the mission and values of the organization.

Position Requirements/Qualifications

  • EDUCATION: Bachelor's Degree preferred, minimum high school or equivalent with 2+ years of social service experience.
  • EXPERIENCE: 2 years' experience in behavioral healthcare completing crisis intervention or managing a therapeutic milieu
  • LICENSURE/CERTIFICATION: QMHS +3 Preferred, or QMHS+3 Eligible
  • KNOWLEDGE AND TRAINING REQUIRED AT TIME OF HIRE: Excellent verbal de-escalating skills and excellent organizational skills

Specific Areas Of Responsibility To Position

Manage the Milieu

  • Act as crisis intervention specialist for the site, responding to all situations related to patient care needs. Triage problems, assign available nursing or clinical staff to assist, or personally de-escalate the situation.
  • Document all crisis work within the CareLogic EHR system.
  • Respond to all immediate facility needs related to upkeep and safety at the facility (water leak, lights out, IT issues, etc).

Parent/Referral Source Coordination/Communication

  • Assist with backup to "call center" during lunch or high call volume times
  • Communicate with parents related to patient financial responsibility when conflicts occur, call Billing Manager when appropriate with family
  • Coordinate all ROI requests and complete documentation tied to patient chart
  • Coordinate all components of Leading Reach for the site

Office Coordination

  • Implementing systems to ensure facility is organized, clean and tidy
  • Communicate basic needs with vendors, cleaning company, etc. (All landlord communication, large projects, or vendor problems should go through the Administrative Director)
  • Assist with tracking facility inspections
