About the Role
The firm is seeking a highly organized, professional, and proactive Operations Manager to support our growing team and contribute to our success. This role will report directly to the CEO and will provide high-level administrative support to the CEO and other Executive members. The Operations Manager should be creative and enjoy working within an entrepreneurial environment. The ideal individual will be able to exercise sound judgment in diverse situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
RESPONSIBILITIES:
Finance & Accounting:
- Safeguard financial information by completing database backups
- Keep track of all financial transactions by accurately recording them
- Perform bank reconciliations to ensure accuracy
- Employ Sage, QuickBooks or similar software for managing and processing financial data
- Regularly reconcile accounts payable and receivable
- Take charge of data entry task related to bookkeeping
- Manage payroll operations ensuring accuracy and timeliness
- Oversee the month-end close process
- Reconcile timecards and submit payroll
- Send and manage vendor invoices via Sage, QuickBooks or similar software
- Enter external payments to partners/vendors in internal accounting tools
- Liaise with the accountant on monthly expenses and credit card reconciliations of employees
Human Resources
- Onboard new employees
- Manage time off policies and calendar for full-time staff
- Assist with talent acquisition by reviewing job descriptions and screening candidates
- Support development and maintenance of compliance documents
- Maintain and and optimize filing systems
Project Management
- Run weekly, monthly and quarterly revenue reports
- Review project management boards to ensure on-time completion
- Lead or assist in special projects
- Document team meetings (meeting minutes and follow up actions)
- Serve as communications hub and liaise with internal and external stakeholders
QUALIFICATIONS:
- Minimum 5 years of demonstrated experience in a prior Operations Manager role or similar position
- Proven track record in Bookkeeping, maintaining accurate and complete financial records.
- Strong experience with Sage, QuickBooks or similar software
- Possess strong skills in Account Reconciliation, ensuring all financial transactions are accurate and up-to-date
- Have a solid understanding and experience with Accounts Payable (AP) procedures , including invoice processing and payment
- Proficient in handling Accounts Receivable (AR), including invoicing, collections, and revenue recognition.
- Proven experience in overseeing and managing human resources functions, including talent acquisition, employee relations, benefits administration, and compliance
- Demonstrated ability to drive organizational success.
- Proven track record of strong business acumen along with the development and management of an effective, engaging corporate culture
- Excellent client relationship skills and experience giving counsel to leadership executives
- Forward thinking individual who can “see around the corner” to anticipating client needs
- Demonstrated excellence in both strategic and tactical skills; a successful candidate will possess the ability to seamlessly transition from hands-on execution to high-level strategic planning, ensuring a balanced approach without losing sight of overarching objectives.
