Job Overview
We are hiring an Operations Executive to manage the daily activities of our coworking space. This includes handling the property, coordinating with vendors, supporting clients, and ensuring everything runs smoothly. The role is ideal for someone with experience in operations, property management, or facilities management.
Key Responsibilities
Facility & Property Management
- Supervise day-to-day operations and ensure upkeep of the coworking space.
- Manage housekeeping staff, attendance, and cleanliness standards.
- Monitor utilities and arrange for timely maintenance or repairs.
- Check that basic utilities like electricity, water, and internet are working properly
Inventory & Stock Management
- Maintain and update stock of pantry, housekeeping, stationery, and fuel supplies.
- Track usage and reorder essentials to avoid shortages.
- Ensure utility services (e.g., water, fuel) are maintained without disruption.
Vendor Coordination
- Coordinate with housekeeping, maintenance, and service vendors.
- Arrange staff replacements, manage service schedules, and verify work completion.
- Process and track vendor invoices and contracts.
Client Support
- Help new clients during onboarding and workspace setup
- Handle client issues or complaints and get them resolved quickly
- Follow up on rent payments and share basic billing info
Tours & Walk-ins
- Give tours of the space to walk-in or referred clients
- Share available workspace options and pricing
- Follow up with interested leads and help close deals
Reporting & Documentation
- Keep records of vendors, stock, bills, and maintenance tasks
- Share weekly updates on operations, stock, and client support
- Ensure safety checks and compliance with basic rules
What We’re Looking For
- Education: Graduate in any stream (Facility Management, Hospitality, or Admin background preferred)
- Experience: 2–3 years in a similar role (coworking, real estate, facility or admin preferred)
- Skills: Good coordination and people management skills | Basic knowledge of Excel and G-Suite tools | Problem-solving approach and ability to work independently | Clear communication and follow-up
