Position Summary 


The Operations Assistant plays a key role in the day-to-day functioning of our organization. This position supports a range of administrative and operational tasks, with a focus on managing financial logistics, maintaining accurate records in Salesforce, and providing hands-on event support. The ideal candidate is reliable, organized, tech-savvy, and enjoys working behind the scenes to keep things running smoothly. 

 

Key Responsibilities 

 

Administrative & Financial Support 

·      Process and track bill payments for both organizational expenses and client-related bills 

·      Track, acknowledge, and report donations, both physical and digital 

·      Assist with maintaining financial records and liaise with the bookkeeper or accountant as needed 

·      Support the procurement of office and program supplies 

 

Salesforce CRM Management 

·      Enter and update data on clients, volunteers, donors, and community partners 

·      Generate regular reports and support CRM data clean-up projects 

·      Maintain data accuracy and confidentiality 

 

Program & Event Support 

·      Assist with setup, breakdown, and logistics for weekly programs and community events 

·      Coordinate with vendors, volunteers, and staff as needed for event preparation 

·      Help maintain an organized supply of inventory for events and programs 

 

General Office Support 

·      Answer phones and respond to inquiries, or direct them appropriately 

·      Assist with mail handling, filing, and document management 

·      Support other administrative and programmatic tasks as assigned 

 

Essential Skills  

·      Strong organizational and time management skills 

·      High attention to detail, especially with data entry and financial documentation 

·      Experience with Salesforce or similar CRM systems (preferred) 

·      Comfortable with basic financial processes (bill paying, expense tracking, etc.) 

·      Ability to lift/move light equipment or supplies for events 

·      Strong interpersonal skills and a collaborative attitude 

·      Interest in community-based nonprofit work 

 

Preferred Qualifications 

·      Bilingual: Italian/English  

·      Bachelor's Degree in Business or related field 

·      Nonprofit experience and/or interest  


Work Location

In one of the most iconic areas of San Francisco, North Beach and in one of it’s most iconic buildings the famous Casa Fugazi.
