We are seeking a dedicated and enthusiastic Office Operations Admin to join our team. The Operations Admin will support the day-to-day operations of the organization by managing administrative tasks, coordinating internal processes, and ensuring the smooth flow of operations across various departments. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively with both internal teams and external partners.

Key Responsibilities:

  • Administrative Support: Provide administrative support to the operations team, including managing schedules, preparing reports, organizing meetings, and handling correspondence.
  • Data Entry & Reporting: Maintain and update databases, tracking systems, and other operational records. Prepare regular reports for internal teams and management.
  • Inventory Management: Assist in monitoring and managing office supplies, equipment, and inventory. Coordinate with suppliers and vendors for procurement as needed.
  • Process Improvement: Identify opportunities for improving operational processes, assisting in the development and implementation of new procedures to enhance efficiency.
  • Documentation & Compliance: Ensure that all operational documents and records are complete, accurate, and compliant with company policies and regulatory standards.
  • Communication: Act as a liaison between various departments and stakeholders to ensure that information is accurately relayed and operational needs are addressed promptly.
  • Project Support: Assist with coordinating and managing special projects related to operations, ensuring deadlines and budgets are met.
  • Problem Solving: Address and resolve administrative issues or process challenges, escalating as necessary to ensure smooth operations.

Qualifications:

  • Experience:
    • 1 year of office experience (required)
  • Skills & Competencies:
    • Strong organizational skills with the ability to multitask and prioritize effectively
    • Excellent written and verbal communication skills
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with office management software
    • Strong attention to detail and problem-solving abilities
    • Ability to work independently and as part of a team in a fast-paced environment
Working Conditions:

  • Full-time position with regular office hours, [Monday-Friday 9am-5pm)].
