Summary

Position Overview and Mission

Bright Hope is seeking a dynamic and highly organized Office Manager/Executive Assistant to oversee the day-to-day office operations, provide executive administrative support to the CEO, and manage internal communications and logistics that keep the organization running smoothly. This is a pivotal role that combines hands-on operations management with executive-level administrative functions to support a mission-driven nonprofit that exists to bring hope to those living in extreme poverty. This is a part-time position (20-25 hours a week).


The successful candidate will be an energetic and trustworthy self-starter with strong organizational and problem-solving skills. They will be responsible for ensuring seamless operations, liaising with internal and external partners, maintaining office infrastructure and systems, and directly supporting the CEO with special projects and administrative needs.


We seek someone who is proactive, compassionate, and committed to supporting the mission and daily functions of a Christian nonprofit. The ideal candidate will thrive in a collaborative, detail-driven environment while demonstrating initiative, discernment, and discretion.

Position Responsibilities

Office Management & Administration


  • Maintain the functionality and organization of the physical office space.
  • Serve as point-of-contact for all staff administrative needs and internal office requests.
  • Manage contracts and relationships with vendors
  • Oversee building needs including coordination with landlord for rent and repairs.
  • Manage staff events, luncheons, and birthday acknowledgments.
  • Coordinate volunteers and maintain daily prayer logs.
  • Manage office calendars, voicemails, and general mail correspondence.
  • Ship and track equipment sent to international teams.

IT Support


  • Act as Office 365 administrator and liaison with IT support partner.

Board Relations


  • Coordinate Board meeting arrangements including scheduling, lunches, and invitations.
  • Prepare and distribute meeting agendas and packets.
  • Take and transcribe board meeting minutes.

Accounting & Finance Admin


  • Scan, code, and submit all incoming invoices through Bill.com.
  • Track and deposit checks; notify accounting and reconcile daily receipts.
  • Prepare and send credit card statements to staff for monthly reconciliation.
  • Submit annual operations budget and coordinate with accounting for recurring financial actions (e.g., stipends, international transfers).
  • Interface with accounting support team for administrative financial matters.

Support for Marketing & Donor Relations


  • Print and mail donor acknowledgments and thank-you notes.
  • Prepare and distribute annual tax receipts and new donor packets.
  • Support Relationship Management team with mailing and logistics for donor communications.

Human Resources


  • Interface with human resource support team and administrative support. 

Qualifications


  • 3+ years of experience in operations, office administration, or executive support.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Office 365 administration.
  • Familiarity with basic accounting workflows and tools such as Bill.com.
  • Ability to multitask, manage shifting priorities, and maintain confidentiality.
  • Strong written and verbal communication skills.
  • Self-motivated with the ability to take initiative and solve problems efficiently.
  • A warm, professional demeanor and a heart for service.
