TITLE: Office Manager/Business Support Manager

REPORTS TO: General Manager

Job Overview

The Business Support Manager plays a pivotal role in ensuring the efficient and smooth operation of business functions within the company. This role requires a proactive, organized, and detail-oriented individual who can oversee various administrative functions, support operating teams, optimize processes, and provide essential back-office assistance to enhance overall business performance.

Key Responsibilities

The Business Support Manager oversees administrative functions and ensures smooth business operations, managing support staff, handling administrative tasks, facilitating communication, coordinating projects, and implementing company policies to maintain an efficient work environment.

Administrative Support

Manage daily office operations and ensure that all administrative processes run efficiently.

Coordinate and manage office resources, including documentation, supplies, and equipment.

Ensure the timely and accurate preparation of reports, meeting agendas, and internal communications.

Managing administrative tasks and communication coordination.

Human Resources Support

Review and approve hourly direct payroll and transmits payroll files for processing.

Review and approve Prevailing Wage reporting for direct payroll as necessary.

Review and approved hourly Indirect and SGA payroll as necessary.

Assists employees or managers with questions about payroll policies and pay discrepancies.

Supports new employee setup, orientation, and onboarding as necessary.

Supports employee offboarding paperwork and processing as necessary

Financial Management Support

Liaise with corporate accounting and finance teams.

Supports accounts payable and accounts receivables processing as necessary.

Supports operation with past due receivables and escalates collection process.

Serve as a point of contact for customers, subcontractors, and suppliers to resolve inquiries and issues.

Team Management And Coordination

Oversee the work of administrative and support staff providing training and evaluating performance to ensure smooth daily operations.

Foster communication and collaboration across departments (e.g., operations, procurement, HR, etc.).

Maintain positive and professional relationships with key stakeholders.

Fleet Management Support

Coordinating new vehicle request from operations.

Managing vehicle assignments with the Holman Fleet Management System.

Maintaining overall accuracy of the Holman Fleet Management System.

Reviewing fleet expenses monthly to ensure accuracy and adherence to fleet policies.

Process Improvement And Efficiency

Identifying and implementing process improvements to enhance efficiency and streamline operations.

Analyzing business performance data to identify areas for process improvement.

Implement tools and systems to enhance efficiency and productivity.

Risk Management Support

Assisting with the implementation of company policies and procedures.

Assist in the identification and mitigation of risks associated with business operations.

Support the management team in strategic decision-making and planning.

Qualifications

Education: Bachelor’s degree in Business Administration, Construction Management, or a related field.

Experience: Minimum of 5 years in a support or operations management role within a field-based industry or a similar field.

Skills & Competencies

Strong organizational and time-management skills.

Excellent communication and interpersonal abilities.

Proficiency in office software (Microsoft Office Suite, Excel, Project Management Software).

Ability to manage multiple tasks and prioritize effectively.

Understanding of financial processes, such as budgeting, invoicing, and cost management.

Ability to learn independently and take initiative with improving quality and timing of procedures.

Customer service skills.
