We are seeking an experienced Office Manager for an exciting role, responsible for the smooth running of our rapidly expanding office in Riyadh, KSA.

About The Role
Responsibilities will cover the smooth running of the new office including all areas from reception and office management duties to administrative and client onboarding.
The role will focus on supporting Partners in the office with day to day management of diaries, administration and creation of client documentation along with providing PA support on various tasks.
In this role, you can expect to get involved in a variety of work including:
OFFICE
- Manage reception and meeting room areas
- Manage equipment, office services, and facilities including liaising with all relevant suppliers (Saudi Telecoms etc.)
- Maintain a professional and positive office environment
- Ensure licences and insurance policies are renewed and other regulatory requirements are complied with, e.g. regulatory filings
- Manage the firm’s relationship with the Saudi bar association, visa administration, and Qiwa portal on behalf of CMS
- Keeping all staff aware of office procedures such as health and safety requirements
- Manage schedules and appointments for Fee Earners
- Prepare legal correspondence and documentation for Fee Earners
- General administration and record keeping duties
PA SUPPORT
- Support with matter opening, billing and collections, banking transactions, budgeting, petty cash and accounts payable.
- Organising travel
- Insertion of client contact information into Bridge
- Processing expenses
- Liaison with Business Development, Marketing, Events and Finance Teams with a view to supporting them on specific team-based tasks

Required Skills/Abilities:
- Excellent written and verbal communication skills in English and Arabic
- Previous office management experience that includes; facilities, administration and diary management
- Strong interpersonal and client service skills
- Detail-oriented and professional
- Ability to organize and prioritize tasks
- Extremely proficient in Microsoft Office Suite or other similar software program
- Ability to maintain confidential records
- Knowledge of Saudi employment legislation
- Ability to work under pressure
- Flexible working approach
- Adaptable to changes in the working environment
- Knows when to seek guidance or further input from others before taking action
Education and Experience:
- Bachelor's degree in Business Administration, Finance, HR or related field preferred
- At least five years' experience in a similar position in KSA
- Meets all legal requirements to live and work in KSA
- Experience of office management with knowledge of accounting procedures and information systems (prior experience in a law or professional services firm favoured but not essential)
- Experience in HR and finance administration
