Office Manager & Executive Assistant

Role: Part time (30h / week), Permanent

Location: Office based in Munich


The Role:

We’re seeking an organised and highly customer oriented Office Manager & Executive Assistant to join our friendly team in Munich and take responsibility for the efficient management of the office and support our Country Director.


Your role will include:

  • Managing and organizing the Munich office
  • Supporting the Country Director or members of the Country Leadership Team with administrative and organizational tasks
  • Single Point of Contact for external Fleet and Mobility Management Provider
  • Coordination of IT equipment with external IT service provider
  • Managing / coordinating of facility tasks in collaboration with the external facility services
  • Managing / coordinating office supplies and equipment
  • Coordinating and planning of meetings, travel, and events
  • Creating and editing documents and presentations
  • Communicating and collaborating with internal and external partners
  • Performing ad-hoc tasks as required by the Country Director or the Country Leadership Team


The Person:

  • Open mindset and high degree of customer orientation (internal “customers”)
  • Excellent written and verbal communication skills in English and German
  • Well-organized and efficient, with the ability to plan and control workload
  • Capable of working on her/his own initiative
  • Basic Knowledge of SAP ERP (e.g. PO creation) and ideally also SAP Concur
  • Fully comfortable with Microsoft Office, particularly skills in PowerPoint and Excel
  • Ability to understand business priorities and challenges
  • Considerable amount of working experience in a multicultural environment, within the pharmaceutical industry would be a plus
