Job Type: Full-time / part-time

Reports to: Principal/Managing Director


Position Overview

We are seeking a highly organized and detail-oriented Office Manager to oversee daily operations at our architecture and design firm. This role is essential in ensuring smooth office administration, financial processes, client relations, and marketing efforts. The ideal candidate will be a proactive problem solver with excellent communication skills and a strong ability to multitask in a creative, fast-paced environment.


Key Responsibilities

Billing & Financial Management

  • Oversee client invoicing, accounts receivable, and payment follow-ups.
  • Coordinate with accountants/bookkeepers for financial reporting and payroll.
  • Track project budgets and expenses, ensuring financial accuracy and efficiency.
  • Fluency in accounting software such as BQE CORE.

Client & Account Relations

  • Serve as the primary point of contact for clients, vendors, and consultants.
  • Maintain strong client relationships through proactive communication and support.
  • Assist in contract management and project documentation.

Marketing & Business Development

  • Assist in creating and executing marketing strategies to promote the firm’s services.
  • Manage social media accounts, website updates, and email campaigns.
  • Support the preparation of proposals, presentations, and marketing materials.
  • Maintain client and project databases for networking and outreach efforts.


Qualifications & Skills

  • Experience: 3+ years of office management experience, preferably in an architecture, design, or creative industry.
  • Education: Bachelor’s degree in Business Administration, Marketing, or a related field (preferred).
  • Software Proficiency: Microsoft Office Suite, QuickBooks (or similar accounting software), Adobe Creative Suite, CRM software, project management tools.
  • Marketing Skills: Knowledge of digital marketing, social media management, and content creation.
  • Financial Acumen: Understanding of basic accounting principles and billing processes.
  • Strong Communication: Excellent verbal and written communication skills.
  • Organizational Skills: Ability to manage multiple tasks, deadlines, and priorities efficiently.
  • Attention to Detail: High level of accuracy in financial and administrative work.
  • Problem-Solving: Proactive approach to challenges with the ability to work independently.
