Summary:

This position co-ordinates and supports the administrative operations of the Outpatient Department of Behavioral Health Services.

Essential Duties and Responsibilities:

• Include the following. Other duties may be assigned.
• Triage telephone calls to appropriate staff members and/or agencies.
• Monitor telephone messages several times daily, and ensure they are dealt with before end of each day.
• Compose type, fax and photocopy routine correspondence.
• Maintain a high level of client confidentiality at all times.
• Contacting clients to arrange or re-schedule appointments as needed.
• Order necessary supplies and ensure that all BHS forms are replenished in file cabinet.
• Refers clients with complex medical and psychiatric issues to appropriate personnel e.g., clinical staff.
• Responds to client’s requests, answers inquiries made by visitors and runs a variety of errands to accommodate the outpatient clerical and operational needs.
• Assists Associate Director, Chief of Psychiatry and Director of BHS to create the most efficient and functional methods to maintain a client and staff database.
• Enter ESM on the system.
• Keep track /make copies of intake paper work.
• Other duties as assigned.
  
  

Basic or Preferred Qualifications:

• High School Diploma or GED
• Ability to type and use various office equipment and software.
• Office Administration staff must be able to prioritize and multi-task as well as follow direction.
• English skills are required
• Spanish preferred
