Job Summary

We are seeking a highly organized and proactive Office Coordinator to join our Boston office. This pivotal role supports day-to-day operations by managing HR-related tasks, billing and accounting functions, IT coordination, ordering supplies, and handling document scanning. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced, multi-functional environment.

Key Responsibilities

Human Resources (HR) Support:

  • Assist with onboarding and offboarding processes
  • Maintain employee records and ensure compliance with HR policies
  • Coordinate employee time-off tracking and benefits administration
  • Support internal communications and employee engagement efforts

Billing And Accounting

  • Assist with invoice processing and billing clients/vendors
  • Support month-end closing and reconciliation tasks
  • Track expenses and maintain accurate financial records
  • Collaborate with the finance department on accounts payable/receivable
  • Oversees overall billing department

IT Coordination

  • Serve as the local point of contact for IT issues and troubleshooting
  • Coordinate with external IT support providers when needed
  • Manage office hardware inventory (laptops, printers, etc.)
  • Set up new employee workstations and maintain software licenses

Office Administration

  • Order and maintain office supplies
  • Ensure office equipment is functioning properly and schedule maintenance
  • Maintain organized and efficient digital and paper filing systems
  • Perform document scanning and data entry as needed

Qualifications

  • Associate’s or Bachelor’s degree preferred
  • 2+ years of office administration or coordination experience
  • Familiarity with HR, billing, and accounting processes
  • Proficient with Microsoft Office Suite, Google Workspace, and accounting software (e.g., QuickBooks)
  • Excellent organizational and multitasking abilities
  • Strong interpersonal and communication skills

Working Conditions

  • On-site position in a professional office environment
  • Occasional lifting of office supplies or equipment (up to 25 lbs)
