Job Duties

Duties & Responsibilities

  • Serves as a primary reference source for students by answering minor questions, processing permits upon advisor or administration request, and addressing other academic-related inquiries while ensuring necessary follow-up is performed.
  • Responsible for opening and closing the Administrative Office and galleries daily. Maintains bulletin boards and digital monitors and is responsible maintaining the cleanliness and organization of common areas.
  • Welcomes visitors to the Department of Art and Design with a friendly and positive attitude, responds to department emails and phone calls/voicemails, and manages department mail professionally.
  • Uses the University’s online ordering system and purchase card to place supply orders and assists with invoice documentation and receipting. Accepts deliveries for the department, verify accuracy of order and communicate receipt of order to appropriate individuals. Communicates with vendors to collect pertinent information for payments, awards or services.
  • Oversees all aspects of key inventory.

  • Responsible for reporting maintenance issues and following up on unresolved open work orders for completion
  • Maintains a variety of records in both electronic and manual file systems or databases, ensuring accurate classification and compilation of information, and prioritizes workload to meet established deadlines.

  • Replenishes paper and ink in office copiers, printers, or similar devices, promptly reports problems or breakdowns, and assists users with resolving issues related to the networked copying and printing system.
  • Assists Department of Art and Design faculty, staff and students by resolving procedural discrepancies and responding to technical administrative questions, utilizing knowledge of specialized functions and ensuring appropriate follow-up.
  • Provides support for meetings and events by preparing refreshments, materials, room setup, cleanup, and restoring the space to original use.
  • Manages the Administrative Office supply room and maintains a stock of standard supplies to meet departmental needs. Coordinates the ordering of business cards, forms, and stationery for individuals or departments

  • Compiles special reports or studies requiring data analysis by identifying information sources, extracting relevant data, and performing specialized calculations as needed. Uses Microsoft Office to complete a variety of tasks.
  • Assists with supervising student workers, providing guidance and support as necessary.
