About the Role:

The Office Assistant/Intake Specialist will be responsible for providing essential administrative support and managing the initial client intake process, including answering calls from incoming, prospective clients, gathering intake information, and providing detailed messages to attorneys and support staff. This role requires excellent communication skills, strong attention to detail, and the ability to multitask effectively.


Responsibilities:

  • Greet and assist clients in a professional and friendly manner, both in person and on the phone.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Schedule appointments and maintain calendars.
  • Answer and direct phone calls, taking accurate messages.
  • Perform data entry and maintain accurate records.
  • Conduct initial intake interviews, gathering necessary information and documentation.
  • Explain company policies and procedures to clients.
  • Maintain confidentiality of sensitive information.
  • Perform other administrative duties as assigned.


Qualifications:

  • High school diploma or equivalent required; Associate's degree or higher preferred.
  • Proven experience as an office assistant, administrative assistant, or in a related role.
  • Experience with client intake preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 
  • Ability to multitask and prioritize tasks effectively.
  • Ability to work independently and as part of a team. 
  • Strong problem-solving skills.
