Description We are looking for a proactive and organized Office Assistant to join our team on a contract basis in Fredericksburg, Virginia. In this role, you will play a key part in supporting office operations across two locations, ensuring smooth communication and efficient coordination. This position offers a flexible 30-hour workweek over four days, with occasional travel to the Manassas office based on operational needs.
Responsibilities:
- Manage incoming and outgoing phone calls using a multi-line phone system to ensure effective communication.
- Provide outstanding customer service, addressing inquiries and resolving issues promptly and professionally.
- Maintain accurate records through efficient data entry and file organization.
- Draft and respond to email correspondence, ensuring clarity and timeliness.
- Coordinate schedules and set appointments, adapting to changing priorities.
- Utilize Microsoft Office applications, including Word, Excel, and Outlook, to complete various administrative tasks.
- Build strong, detail-oriented relationships with colleagues and clients through effective interpersonal communication.
- Assist with general office organization to maintain a clean and productive work environment.
- Support office operations across two locations, occasionally traveling to the Manassas office as needed.
- Approach tasks with a positive attitude, demonstrating adaptability in fast-paced situations. Requirements - At least 1 year of experience in a customer service or administrative role.
- Proficiency in Microsoft Word, Excel, and Outlook, along with general IT competency.
- Strong communication skills, both verbal and written, with the ability to empathize and connect with others.
- Excellent organizational skills and attention to detail.
- Ability to manage schedules and appointments efficiently.
- Comfortable working in a dynamic environment and adapting to changing priorities.
- Dependable and detail oriented, capable of taking ownership of tasks and solving problems independently.
