Summary

The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. From scheduling client meetings, to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner. 

 

Responsibilities

  1. Tender Documentation - Assist in the preparation and organization of tender documents, ensuring accuracy, completeness, and compliance with regulatory requirements.
  2. Assist in managing end-to-end back-end operations for medical equipment tenders Operate and maintain the GeM portal, including uploading bids and tracking submissions
  3. Filing: Maintain organized electronic and physical filing systems for tender-related documents, contracts, and correspondence.
  4. Facilitate communication within the organization by drafting and distributing internal memos, updates, and announcements related to tender processes
  5. Handle external correspondence with vendors, partners, and regulatory agencies regarding tender submissions, inquiries, and documentation requirements.
  6. Respond to dealer and customer inquiries related to tenders and quotations
  7. Track tender outcomes and maintain performance records
  8. Database Management - Update and maintain databases with relevant tender information, ensuring data integrity and accessibility.
  9. Provide general administrative support to the team, including scheduling meetings, preparing reports, and coordinating travel arrangements
  10. Raise Purchase Orders to suppliers and coordinate timely deliveries
  11. Create and manage Invoices, Delivery Challans, and related dispatch documents
  12. Provide regular interaction and back-end documentation support to service engineers for on-site servicing, installation, and demonstration activities
  13. Coordinate with customers and internal teams for smooth execution and follow-up


Qualifications

  • Minimum educational qualification: 12th Pass / Diploma; graduates are welcome but not mandatory
  • 0–1 year of experience in tendering, documentation, or administrative support
  • Basic knowledge of the GeM portal or willingness to learn
  • Comfortable using MS Office tools (Word, Excel, Outlook)
  • Good communication and coordination skills
  • Strong attention to detail, organizational ability, and eagerness to learn
