Partnership Wealth Management (PWM) is a Towson-based financial services company that serves clients in thirteen states and three countries. As a comprehensive financial services company, we help our clients plan for their future through our personal financial planning strategies. Our holistic advice aims to help our clients improve everything from their day-to-day finances to retirement planning, tax strategies to estate planning strategies, and insurance to charitable giving.
PWM is an independent financial advisory firm working with a small client base of individuals and couples. We provide white-glove-level service to high-net-worth clients. We work with a wide range of clients, but we find that many are 55-75 years old, and about 70% of our clients are from the LGBTQ+ community. As a result, anyone working with us must be comfortable working with a diverse clientele.
Position Overview
We are seeking a professional, personable, and reliable Office Administrator to assist with the day-to-day operations of a local financial planning company. The Office Administrator should be able to ensure the smooth running of the office and help to improve company procedures.
This staff-support role requires excellent attention to detail, the ability to complete multiple tasks promptly, and the ability to recognize and adapt to the nuances of customization needed for individual clients.
Proficiencies
· Proven experience as an Office Manager, Office Administrator, or Executive/Administrative Assistant
· Knowledge of office administrator responsibilities, systems, and procedures
· Proficiency in MS Office (MS Word, MS Excel, MS PowerPoint, & MS Outlook, in particular)
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem-solving skills
· Excellent written and verbal communication skills
· Strong organizational and planning skills in a fast-paced environment
· A creative mind with an ability to suggest improvements
· Applicants should have excellent client service skills and be highly motivated.
· Must be open to working with people of all ages and diverse cultural backgrounds.
· The job is in an office with three other people, so the ideal applicant would be able to work well independently.

Experience
· A High School Degree or equivalent is required.
· Prefer a minimum of 5 years’ experience in a support role
· Applicants do not need a financial industry background, but it is preferred.
· Social media marketing experience is also preferred, but not required.
Responsibilities
· Calendar Management: Schedule and manage appointments, meetings, and conference calls for financial advisors and clients.
· Client Correspondence: Handle client inquiries, emails, and phone calls to ensure prompt and professional responses.
· Document Management: Organize and maintain digital and physical files, including financial documents, client records, and reports.
· Data Entry: Accurately input and update client information, financial data, and transactions into the company's systems and databases.
· Record Keeping: Maintain detailed and confidential records of client interactions, transactions, and communications.
· Meeting Preparation: Prepare meeting materials, reports, and presentations for client meetings, ensuring accuracy and completeness.
· Regulatory Compliance: Assist in maintaining compliance with financial industry regulations, including record-keeping and reporting requirements.
· (Preferred, but not required) Marketing: Creating and managing social media content for the company's profiles, assisting in the development of marketing materials, both digital and print
· Supplies and Inventory: Monitor office supplies, place orders, and maintain an organized inventory.
· Facility Maintenance: Ensure the office is well-maintained and liaise with facilities management for repairs and maintenance.
· Proactively identifying potential issues or needs for both staff and clients
· Planning and coordinating events, including seminars, client events, workshops, or informational sessions
