Summary

Work Shift: 9am-6pm/Sunday-ThursdayWork Week: Part time (32 hours)Summary:We are seeking a highly organized and experienced Office Administrator to provide dynamic support to our Behavioral Health program. This critical role combines marketing and communications expertise with strong office management and supervisory skills. You will be the right hand to our program leadership, playing apivotal role in ensuring the program runs smoothly and efficiently whilecontributing to strategic marketing initiatives.Requirements:Operation:Manage calendars for program leadership and marketing team members, scheduling meetings, appointments, and travel.Book and coordinate travel arrangements, ensuring compliance with policies and budget.Manage expense reports and ensure timely reimbursement.Communication and Documentation:Screen and manage incoming calls and emails, prioritizing messages efficiently.Draft and proofread correspondence, presentations, and other documents.Prepare agendas and minutes for meetings, taking accurate notes as needed.Maintain centralized document repositories and ensure document organization and accessibility.Project Support:Assist with event planning and logistics, including vendor coordination, budgeting, and attendee management.Provide support for research projects, data collection, and report preparation.Manage deadlines and timelines, ensuring tasks are completed efficiently and on time.Staff Supervision:Provide direct supervision and guidance to assigned staff.Conduct performance evaluations and provide feedback.Train and onboard new staff members.Delegate tasks effectively and ensure workload is balanced.Marketing Support:Assist with the creation and distribution of marketing materials, including presentations, brochures, and social media content.Research industry trends, market data, and competitor information.Maintain databases and organize marketing collateral.General Administrative Support:Manage office supplies and equipment inventory.Conduct research and complete assigned tasks in a timely and accurate manner.Maintain a professional and positive work environment.Qualifications:Relevant experience in (e.g., communication, marketing, business administration) or equivalent experience.Minimum of 2 years of experience as an executive assistant or in a similar administrative role.Strong organizational, time management, and communication skills.Proficiency in Microsoft Office Suite, with experience in calendar management software and project management tools.Excellent written and verbal communication skills, with the ability to tailor communication to different audiences.Ability to work independently, prioritize tasks, and manage multiple deadlines.Strong attention to detail and accuracy.Experience working in a fast-paced, dynamic environment preferred.Passion for improving mental health and well-being is a plus.Benefits:Competitive salary w/ commissionOpportunity to work with a dedicated team making a positive impact on mental health.Supportive and collaborative work environment.Professional development opportunities.To Apply: Interested applicants may submit their resume and cover letter to [email protected] are an equal opportunity employer and value diversity at our company.
