LEADERSHIP PROGRAM COORDINATOR
Job Summary
The Leadership Program Coordinator is responsible for the implementation of LEAD San Diego’s leadership programs including but not limited to Advance, Impact, and Influence. This role collaborates with internal Chamber teams to promote and enhance the impact of Chamber and LEAD initiatives. Key responsibilities include program management, promotion and evaluation, marketing and outreach, community recognition, and event management.

Essential Duties and Responsibilities
Program Management
Plan, manage and implement day-to-day operations of three leadership programs
Identify, outreach to and secure speakers, refining topics that coincide with contemporary public policy and topical issues affecting our greater region
Secure venues, process contracts and invoices. Ensure all payments are processed in a timely manner
Work with venues/hosts to ensure smooth execution of program logistics, including A/V, program supplies, appropriate background checks and handle special requests by hosts or presenters
Communicate with speakers and secure supporting materials (PowerPoints, handouts, etc.)
Review and update monthly session surveys and post-program evaluations. In collaboration with the Executive Director, analyze results to support strategic planning and program improvement
Manage and track sponsor deliverables and trade agreements and provide necessary updates to sponsors
Document and provide day of program social media content
Manage marketing needs for program recruitment
Manage the marketing and collateral process for applicant recruitment, including working with comms/marketing team to create promotional flyers and develop social media promotional plans and posts
Make necessary website updates to reflect current status of programs
Plan, draft, and edit content for LEAD newsletters and emails and provide relevant content for Chamber newsletters and emails
Manage all communications for program participants
Review, update, and post applications in Salesforce, ensuring accurate data entry, timely updates and proper application tracking for invoices, scholarships and enrollment status
Manage end-to-end application processes, including receiving and vetting applications, reviewing, coordinating and scheduling interviews and serving as main point of contact
Develop and provide comprehensive orientation materials for program participants, including schedules, tuition payments, and pre-enrollment requirements
Request and track invoices for program tuitions and work in collaboration with Finance team to ensure timely processing of payments
Provide day-of program details to applicants in advance of program dates
Provide all program follow up communication, including photos, reports and presenter slides, etc.
Provide promotional emails and materials when appropriate
Database Management
Evaluate and enhance database procedures related to alumni and program management
Monitor information about alumni, prospects, and program participants from media, magazines and provide updates in the database
Board Communication and Support
Assist in the preparation and logistics for LEAD Board and Executive Committee meetings
Including creating and distributing board packets, taking and distributing meeting minutes, managing calendar invites and assisting with meeting logistics
Maintain and update the board roster and assist in tracking board engagement
Community Partners and Leader Recognition
Support Executive Director in developing relationships with partner organizations, speakers and community leadership development issues
In partnership with Executive Director, track sponsorship deliverables and trade agreements
Support Executive Director in coordinating communication with honorees, honoree guests, presenters and other key stakeholders for Visionary Awards
Manage scheduling of Visionary Award honoree videos
Support Events team with day of set up and coordination for Visionary Awards
Qualifications and Requirements:
Bachelor’s Degree or equivalent strongly preferred
2-3 years’ experience in program management for educational, public affairs, or nonprofit organization(s) is preferred
Outstanding communication and interpersonal skills, including tact and professionalism in dealing with staff and the public
Strong customer service orientation
Experience with general event planning and execution preferred
Willingness to learn and problem-solve in a changing environment
Excellent organizational skills, time management and attention to detail
Comfortable using social media for promotional purposes
Experience with non-profit boards a plus
Familiarity with the LEAD and the San Diego business community a plus

Research prospects for new membership through databases, telephone, electronic and personal contact.
Proactively seek referrals from client base and follow up on all leads that are assigned from web inquiries, call-ins and visits to the Chamber’s offices.
Maintain active relationships with assigned members to encourage participation in Chamber activities in order to maximize the value of their membership and encourage renewal on an annual basis.
Follow up on past due membership collections on existing accounts as well as for accounts assigned by the Executive Director, Membership.
Draft correspondence and prepare and send out Chamber information to potential members and existing members.
Responsible for achieving monthly, quarterly and annual revenue goals.
Heavy emphasis on outbound communication and business development to attract new clients, with weekly and monthly contact goals.
Proactively seek upgrades from current members.
Maintain detailed account records in Salesforce.com for all activity with assigned accounts and ensure that all information related to the account is updated on a regular basis.
Coordinate with various departments as necessary to fulfill membership benefits.
Help to facilitate growth of Business Alliance Groups and other programs through sales process and member follow through.
Join and regularly attend at least one Business Alliance Group monthly.
Attend and participate in Chamber and other events, as requested.

Ensure that new members are accurately included in the 30-day communication cycle.
Participate in weekly membership sales meeting.
