The Marketing/Move-in Coordinator works in accordance with the established policies and procedures of the community and/or specific instruction from the Marketing and Sales Director.
The Move-in Coordinator performs all the necessary functions of ensuring a successful move-in of all future residents. Masonic Village at Burlington fully embraces a culture of hospitality.

Essential Functions
Answers and directs incoming phone calls and manages the lead distribution system
Returns calls, emails for all leads by the end of each workday or with in 24hours.
Greets and serves all visitors to the marketing office in accordance with the Life Care Services Extraordinary Impressions program
Prepares and updates marketing and sales reports.
Responsible for wait list operational maintenance. Including reconciliation, updating contracts, monthly newsletter mailings, birthday cards mailings, etc.
Processes all sales, cancellations, transfers and move out process and associated documentation
Responsible for setting closing and move-in dates with each resident/buyer as instructed by the marketing director to meet revenue goals. Maintain a master move-in schedule of walk-thru, closing and move-in dates to assure orderly and timely fill of the residences. Communicates such with appropriate staff in a consistent and timely manner.
Manges the distribution and tracking of multiple surveys.

Works closely with marketing director for event creation, coordination and implementation within the approved budget.
Responsible for maintenance of marketing systems, including Sales Force and C3 LinC, and capable of producing data results and system generated reports
Manages the office by tracking inventory and ordering office supplies, collateral, and other printed materials within the approved budget
Maintains and updates the office schedule including events, staff schedules and appointments
Provides administrative support to the Marketing and Sales Director and Residency Counselors as requested
Redirects residents to appropriate contact for questions, comments or concerns.
Maintains a professional appearance at all times
Attends meetings as requested
Assumes responsibility for maintaining work areas in a presentable manner Performs specific work duties and responsibilities as assigned by supervisor.
Knowledge/Experience Requirements
Administrative degree preferred with a minimum three years related work experience or high school degree and minimum five years related work experience
Organizational skills
Experience in a professional office or hospitality environment, where good communication (especially telephone) and customer relations skills are essential
Proficient in the use of various software including all Microsoft Office applications
Strong written and verbal communication skills
Excellent keyboarding and proofreading skills
Ability to multitask
Takes initiative
