About The Role
We’re seeking an experienced Marketing Coordinator to join our growing team. This role supports firm-wide marketing efforts by partnering with Marketing Directors, Regional Marketing Managers, and technical teams to develop proposals and marketing materials that align with FGMA’s brand. The position requires managing multiple projects and prioritizing tasks to meet concurrent deadlines and reports to the Marketing Director – Revenue Generation.
Please note this is NOT a digital marketing or social media-focused position.
Key Responsibilities
- In coordination with Regional Marketing Manager(s), organize, support and assemble RFQ/RFP responses (general and SF330 formats) and statements of qualifications.
- Maintain and update the root document library, including resumes, project pages, boilerplate text and related marketing materials, ensuring consistency with brand standards and templates.
- Review proposals for strategic alignment, compliance with RFP requirements, adherence to brand standards and QA/QC for grammar, formatting, and content accuracy.
- Provide production, assembly, and delivery support of marketing materials.
- Maintain and update CRM (Vision/Vantagepoint) with accurate client, contact and pursuit information.
- Update and classify digital assets in digital asset management software (OpenAsset).
- Support updates to the organization's website, including content uploads and simple updates.
- Provide occasional support to the event coordinator in organizing conference graphics and materials.
- Collaborate with marketing leadership to develop and implement marketing initiatives, foster knowledge sharing and refine best practices.
Qualifications & Skills - Minimum of 3 years of proposal development and marketing experience in the A/E/C industry
- Bachelor’s degree in marketing, English, communications, journalism or an adjacent field
- Passion for proposal development and winning work
- Effectively handle multiple assignments simultaneously and meet tight deadlines with accuracy
- Proven ability to work collaboratively in both a remote and in-person team environment
- Commitment to protecting confidential information
- Software proficiency:
- Advanced proficiency in InDesign (candidates will be tested before hire).
- Proficiency with Microsoft Office Suite, Adobe Photoshop, and Adobe Illustrator.
- Familiarity with CRM applications (Deltek Vision/Vantagepoint) and Open Asset is a plus.
