Every day, we rise to the challenge to make a difference and here’s how the Marketing Assistant role will make an impact:
- Provide proficient administrative support for both marketing and sales department
- Collect and make a relevant comparing presentation of the offers from the third party agencies:
1) for promo materials in relation with marketing
2) tourism agency to organize relevant business events (internal/ international) in relation with mkt or sales
3) other services providers to organize meetings or trainings, etc
- Follow all the relevant steps according to corporate policies & procedures and compliance rules for organizing the above mentioned events; reponsible for accuracy of the documents and steps.
- Communicate timely and qualitatively with the sales force regarding: promo materials (including distribution of it), scentific events, policies & procedures and any other information relevant for theirs work
- Ensure the approval flow of the documents keeping all stakeholders informed
- Propose and implement actions that can lead to the improvement of the admin work
- Prepare contracts, check invoices for payment (follow up for documents), LCM uploads etc.
- Manage and maintain marketing databases of costs per product, follow up for invoices, documents etc to ensure a continuous control of marketing budget expenditures and to follow the correct internal procedural flow
- Support the sales & mkt team in organizing promo meetings (congresses, other promo events support for marketing and sales)
- Presentations for promo meetings: ensure the approval flow, unpload in Veeva Vault
- Newletters: help & communicate with Product Managers and CoE to prepare newsletters
- Support the audit process when necessary
- Responsible and accountable for conducting all Meetings & Congresses within all applicable Viatris Policies and Guidelines
- Responsible and accountable for the submission of all HCP Transparency reporting, its accuracy and that it is completed on time, within local guidelines
Competencies and experience:
- Highly organized and attentive to details
- Excellent communication skills
- Good knowledge of Microsoft Office
- Similar experience in an international environment is required
