Summary

Reporting to the Head of Corporate Administration, this strategic role is responsible for promoting effective management of information and records across the organisation. It involves driving the development, implementation, and continuous improvement of information management systems, processes, and governance best practices.

You Will Be Responsible For

  • supporting development and implementation of information/records management, and governance best practices;
  • leading the operational delivery of all aspects of information and records management, including digital asset and rights management, and ensuring compliance with internal policies and external regulations on information governance, security and data protection;
  • identifying and evaluating appropriate systems to enhance information management;
  • providing guidance and training to internal stakeholders on information/records management, and related topics;
  • facilitating a team of information asset champions to achieve information management objectives and overseeing corporate administration tasks, including managing IM-related documentation, ensuring compliance, coordinating meetings, and maintaining organised IM-related records;
  • supervising a team of staff to deliver effective and efficient administrative services;
  • assisting the Head, Corporate Administration in handling stakeholder enquiries and matters related to information management governance and compliance;
  • conducting research, analysis, and reporting on projects as required;
  • benchmarking against other public/ arts-and-cultural organisations as required; and
  • supporting department budget planning and expenditure monitoring.

You Should

  • have a university degree in business management or equivalent;
  • possess experience in secretarial and administrative support will be an advantage;
  • have good knowledge of policy-and-procedures, and corporate governance principles;
  • have 6 years of experience in corporate administration or other related areas from a sizable organisation;
  • possess excellent analytical, problem-solving and communication skills;
  • be proficient in M365 productivity tools, e.g. SharePoint, Power Automate, and knowledge in information / record management;
  • have good interpersonal skills and able to effectively manage relationships with internal stakeholders at all levels; and
  • be proficient in written and spoken English and Chinese.
