JOB SUMMARY: Responsible for handling the administrative functions of the Central States Logistics Group to meet the needs and demands of the company. Demonstrate a willingness to provide an excellent experience, seizing opportunities to create raving fans with every interaction.
Job Duties And Essential Functions
Responsible for operating a multi-line phone system and ensuring our customers internally and externally are professionally and pleasantly greeted, receive correct delivery information and/or are transferred to the correct person who can provide assistance.
Responsible for the accurate and timely keying of purchase requisitions and recording expenses.
Responsible for the accurate and timely keying of the driver payroll function, primarily keying in information from the driver load list.
Responsible for the timely and accurate administration functions supporting the needs of the company and customers, including but not limited to: entry and invoicing of backhaul customers, file maintenance of Bills of Lading and entry of logistics data into the system.
Responsible for maintaining fuel surcharge chart, updating monthly and communicating to the organization the changes.
Responsible for maintaining Business Development Managers company car mileage report which includes gathering the mileage sheets monthly from the BDMs and inputting them into a consolidated format.
Completes weekly driver payroll processing and monthly bonus file within the standard timing constraints and with high level of accuracy.
Responsible for driver recruitment activities of initial driver contact, driver screening and setting up the driver interview. This is to be done in conjunction with HR working to post open positions and receiving applications.
Responsible for scheduling and managing Driver On-Boarding and working with site HR on coordinating travel.
Must learn and utilize the company’s ERP System.
Cross-trains and supports other Administrative Assistants within the company.
Minimum Qualifications
Ability to multitask and meet deadlines while working in a fast paced environment with interruptions
Active listener with the ability to create an open environment of communication
Three or more years of office or administration experience preferred
High school diploma or equivalent
Personable and able to create customer (internal and external) rapport
Organized and detailed oriented
