Salary: $90K-$100K | Non-exempt

Schedule: Monday-Friday | 9-5 | Occasional OT


Overview:

Our client, a top-ranked law firm recognized as a “Best Place to Work in 2025,” is seeking a Legal Executive Administrative Assistant to provide high-level support to attorneys within the Trusts and Estates/Private Client Practice. This legal administrative professional will be vital in organizing attorney workflows, managing client communications, and ensuring top-tier legal support services.

Key Responsibilities:

  • Provide comprehensive administrative and executive support to attorneys within the Private Client/Trusts and Estates department
  • Manage calendars, schedule meetings, and assist with timekeeping and billing processes
  • Draft, edit, and format legal documents, PowerPoint presentations, and Excel spreadsheets
  • Coordinate travel arrangements and logistics for meetings, conferences, and events
  • Maintain and organize client and matter files; arrange for document delivery and service of process
  • Track business development activities and follow-up actions
  • Maintain confidentiality and proactively anticipate attorney needs
  • Build strong working relationships with attorneys, clients, vendors, and administrative staff


Key Skills, Qualifications & Competencies:

  • 8+ years of experience in a legal administrative or executive assistant role, preferably within a law firm environment
  • Proficiency in Microsoft Office Suite (Word with styles, Outlook, PowerPoint, Excel) and working knowledge of PDF software (Adobe, Kofax, etc.).
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple priorities, work independently and collaboratively, and communicate effectively
  • High level of discretion and ability to maintain confidential information
  • Problem-solving mindset with the ability to anticipate needs
  • Adaptable and professional under pressure with a positive, solutions-oriented attitude
