About the role

Join QIC's Real Estate team in Sydney on a full-time basis as a Leasing Assistant. Working closely with the Leasing team, you will primarily be responsible for coordinating the lease proposal process on behalf of the Leasing Executives. Additionally, you’ll provide high-level administrative and executive support, contributing to the success of a dynamic and fast-paced team environment.

This role is covering a 12-month parental leave contract with an ideal start date of July 2025.

Key Responsibilities

  • Prepare Letter of Offer (LOO) packages for Leasing Executives and transcribe agreed terms into Salesforce for deal submission.
  • Complete tenancy remixes and maintain operational centre plans and development configurations.
  • Prepare and distribute sales, management, and other reports; assist with correspondence, presentations, and documentation.
  • Attend Leasing meetings, take and circulate minutes, and follow up on action points.
  • Maintain commercial advertisement listings and general knowledge of the retail leasing market.
  • Provide confidential HR administration support, including recruitment, onboarding, and performance documentation.
  • Manage diaries and coordinate internal/external meetings, including room bookings, video conferencing, and catering.
  • Coordinate domestic and international travel within budget, including flights, accommodation, and transport logistics.
  • Process invoices and assist with monthly credit card reconciliations.
  • Monitor and maintain team requirements, including office supplies, services, equipment, and IT support.
  • File and archive documents; assist staff and visitors with systems and office orientation.
  • Collect, distribute, and post mail.


Key Requirements

  • Certificate in secretarial/administration course preferred
  • Experience in administration, team assistant or executive support positions
  • Property experience including an understanding of leasing terminology an advantage
  • Intermediate knowledge of Microsoft suite – Outlook, Word, PowerPoint and Excel
  • Intermediate knowledge of Salesforce and Anaplan preferred
  • High-level verbal and written communication skills
  • Excellent attention to detail, including deadlines and commitments
  • Self-motivated, highly organised and able to work effectively without close supervision
  • Ability to maintain high levels of confidentiality and flexible with working hours when required
