Duties and ResponsibilitiesTraining Coordination

  • Coordinate training requirements, book sessions, assess eligibility criteria, and liaise with internal teams and external providers for seamless program delivery.
  • Assist in developing training materials, confirming employee participation, reviewing content, and maintaining accurate records in the LMS/McNab Academy.
  • Monitor and respond to training-related inquiries in a timely and professional manner, providing information on programs, workplace experience placements, and LMS access.
  • Escalate complex queries to the appropriate team member or department, ensuring efficient resolution and clear communication with stakeholders.
  • Create and manage calendar invites for all stakeholders, ensuring supervisors, students, and coordinators are well-informed of placement schedules, responsibilities, and pre-placement requirements.

Workplace Experience (WEXP) Administration

  • Ensure all confirmed Workplace Experience (WEXP) placements have the required insurance coverage by completing, reviewing, and submitting necessary documents in compliance with company policies and regulations.
  • Send official placement confirmation emails, including key details such as dates, locations, expectations, and required documentation, to students, parents, schools, and relevant internal stakeholders.
  • Create and manage calendar invites for all stakeholders, ensuring supervisors, students, and coordinators are informed of placement schedules, responsibilities, and any pre-placement requirements.
  • Distribute feedback forms to supervisors upon placement completion, track responses, send follow-ups as needed, and ensure all feedback is recorded and addressed for continuous improvement.
  • Maintain up-to-date records of WEXP placements, ensuring administrative processes align with internal guidelines.
  • Collaborate with the Workforce Development Apprenticeship Coordinator to support ongoing improvements in placement management.
  • Work with the Workforce Development Coordinator to review feedback and assist in transitioning potential candidates to recruitment.

Apprenticeship, Trainee, and Cadet Administration

  • Identify apprentices, trainees, and cadets scheduled for visits at the start of each month and prepare/distribute feedback forms to relevant supervisors, ensuring timely collection and follow-up.
  • Monitor apprentices, trainees, and cadets due for progression, completion, or probation review, ensuring relevant stakeholders are informed and necessary actions are taken.
  • Create and manage calendar invites for all stakeholders, ensuring seamless scheduling of TAFE sessions, learning sessions, and related commitments.

Learning Management System (LMS) Administration

  • Ensure accurate and up-to-date employee training data by uploading course completions, tracking progress, and managing version control of training content in the LMS.
  • Oversee system functionality, maintain relationships with training providers and internal stakeholders, and support continuous improvements to enhance the learning experience.

Training Design and Creation

  • Apply instructional design principles to develop interactive, visually engaging, and learner-centric eLearning modules that accommodate different learning styles.
  • Design visually compelling and interactive training decks to support facilitators in delivering impactful, learner-focused live training sessions.
  • Develop digital learning experiences using authoring tools (e.g., Articulate Storyline, Adobe Captivate), videos, animations, and AI-powered solutions to enhance learner engagement.
  • Create knowledge checks, quizzes, and scenario-based assessments, utilizing data analytics and learner feedback to refine and optimize eLearning experiences.

Experience and QualificationsEssential

  • Proven experience in general administration, HR, or Learning & Development administration roles.
  • Experience in designing engaging eLearning modules and training decks.
  • Strong organizational and time management skills.
  • Ability to build and maintain effective relationships.
  • Excellent written and verbal communication skills.
  • Proficiency in IT systems, including LMS platforms, MS Word, and Excel.

Desirable

  • Tertiary qualification in Human Resource Management or a related discipline.
  • Experience in the construction industry.
  • Familiarity with eLearning design tools, such as Rise 360.
