Job Description Primary Function of Position The Global Labeling group designs, develops, and supports product labeling for the full lifecycle of Intuitive' s products. We are seeking a Labeling Project Coordinator to support the Label Design and Development team focused on new and sustaining product design activities. The Labeling Project Coordinator will help execute product development and process-specified activities to ensure compliance with established Design Control and Project Management processes, with a proven focus on collaboration with cross-functional groups. The ideal candidate will have a passion for people, processes, products, be a proven communicator and solid relationship-builder, be detail-oriented, and have proven investigative skills. Essential Job Duties * Work closely with the Labeling team (Labeling Project Managers, Specialists/Designers, Engineers) and PMO Project Managers to define and track project plans and execution of labeling deliverables (end-to-end) * Work closely with Supplier Engineering, Purchasing/Buyers and Labeling team on ordering and tracking of the purchased items/labels * Monitor and report status for project tasks, documentation, and deliverables * Escalate possible interference/variances to schedule and/or specifications: suggest methods to alleviate bottlenecks * Support team meetings including taking minutes and tracking action items. * Work with Project Manager on milestone activities including ECO reviews, closure, liaison with Document Control, expedite approvals * Support and promote change orders for Labeling Requirements, work instructions, and procedures, Translations Matrices * Support and execute company initiatives / Quality Management System (QMS) as identified by management. * Help identify and implement departmental, process-related improvements * Manage multiple, simultaneous labeling projects and to meet specified department and corporate requirements and goal deadlines. * Manage communication and partnership with any external vendors (for translations, surge capacity) in alignment with business needs * Coordinate with internal Project Leads/Managers and stakeholders to ensure our labels meet compliance, regulatory and legal requirements. Qualifications Required Skills and Experience * Demonstrated ownership of projects, supporting and managing deadlines among cross-functional teams while organizing and prioritizing multiple projects in a fast-paced environment. Capable of executing frequent iterations with patience. * Ability to learn quickly, comprehend complex technical information, and express concepts in both verbal and written forms. * Able to recognize critical issues, solve problems, respond quickly, often under pressure, and see issues to closure under your direction. * Excellent communication, written, interpersonal, organizational and self-management skills required. * Exceptional collaboration skills and ability to close projects ahead of schedule. * Intense focus and attention to detail required. Equally important is the ability to handle pressure, short timeframes, the unexpected, and to keep projects running smoothly. Required Education and Training * Minimum of 4-year Engineering degree (bachelor's degree or equivalent) * Excellent critical thinker with the ability to research issues, consider alternative viewpoints, reason insightfully, analyze, solution problems, and make recommendations on key issues with stakeholder input. * Troubleshoot issues, communicate impact and propose solutions. * Support and execute Labeling Projects end to end with Labeling team Project Managers, Specialists and engineering teams. Preferred Skills and Experience * Proficient user of enterprise-level productivity and project management software such as Tableau, Smartsheet or similar products. SAP is a plus. * Experience with change management or document control processes, possessing a working knowledge or experience with Agile PLM or similar PLM business systems. Other Skills and Abilities * Able to learn and apply established procedures in a reliable and consistent manner * Effective leadership, negotiation, interpersonal, communication, and facilitation skills * Ability to drive and deliver in a matrix organization environment * Excellent written and verbal communication skills with the ability to work effectively across departments and influence stakeholders * Proven problem-solving skills and ability to be self-managed in a fast-paced environment utilizing agile/sprint methodologies * Quick learner with the ability to understand complex products and processes * Ability to work in a team environment * High level of attention to technical details and accuracy * Ability to work unsupervised and with minimal supervision * Ability to multitask, and handle tasks with contesting priorities effectively * Proficient with MS Office applications, including PowerPoint, Word, Excel, Outlook, and Teams Integrity * Accept and adhere to high standards of ethical, moral, and personal values in decisions, communications, and actions, and when dealing with others.
