Summary

We are looking for a proactive and detail-oriented Junior Executive Assistant to support our management and HR operations. The ideal candidate will be trainable, self-motivated, and capable of working independently. This is a hybrid role combining executive support, office administration, basic finance handling, and HR generalist functions.


Key Responsibilities:

  • Manage meeting schedules, prepare minutes, and coordinate follow-ups
  • Oversee IT assets, office supplies, and ensure smooth office operations
  • Liaise with vendors and building management
  • Arrange business travel and logistics
  • Support document handling including signing, filing, scanning, and delivery
  • Track and renew operational licences
  • Prepare monthly account reconciliation and petty cash reports
  • Initiate and track payments, including SST and statutory contributions (EPF, SOCSO, LHDN)
  • Follow up with clients on outstanding invoices
  • Maintain cash flow files and financial trackers
  • Assist with basic HR functions: onboarding, payroll changes, leave tracking, employee data and statutory reporting
  • Support employee engagement and ensure HR compliance with local labour laws
  • Generate EA and Form E annually


Qualifications

  • Bachelor's degree or equivalent experience
  • 2–3 years of experience in a similar role
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Well-versed in general office and HR functions
  • Strong organisational and communication skills
  • Ability to maintain confidentiality and work independently
