Summary

Job Overview: We are seeking a highly skilled and detail-oriented Intake Manager to join our Veterans' Benefits Group. The ideal candidate will be responsible for managing the intake process for our group, ensuring that all potential clients receive a timely response. The Intake Manager assists attorneys and members of the Vet Team in providing legal services to veterans and enhances the effectiveness of the Veterans' Benefits practice by ensuring that clients receive excellent customer service and that the information attorneys need to open a case is obtained, compiled, and provided following an established, uniform series of procedures. Responsibilities Respond to all potential client inquiries in a timely manner Determine if there is a potentially viable case and obtain copies of relevant documents for attorney review Review and “pre-screen” documents to determine if there is a potentially viable matter for attorney review Initiate the closing process on potentital clients we do not make contact with Send courtesy call or close letters to potential clients who have spoken to an attorney but we cannot assist. Regularly follow up for additional information attorneys request from potentital clients Schedule calls with attorneys Draft all contracts and addendum contracts Draft notice of appeals and notice of appearances when needed Customer Service (External and Internal) The ability to respond promptly to client and attorney needs for service and assistance; to learn and understand client matters and work proactively; to respond appropriately to client concerns; to meet deadlines and commitments; to regularly solicit and apply customer feedback to continually improve service. Diligence The ability to take ownership of one's work product for accuracy in content and attention to detail; to perform independently with little supervision; to monitor work and apply organizing strategies to ensure projects are prioritized according to business needs; resources are used effectively and efficiently; work needs are anticipated during periods emergent circumstances, periods of pressure, increased work volume, and numerous deadlines Effective Communication (Verbal and Written) The capability to communicate clearly and concisely verbally and in writing; to adapt communication style to specific circumstances and audiences; to thoroughly read and comprehend written information; to draft correspondence, pleadings, and reports concisely and informatively; to present numerical data accurately; to proofread and edit all work for precise spelling and grammar; to speak distinctly and persuasively in both positive and negative situations; to listen carefully and ask questions to gain clarification; to respond accurately to questions; to speak up in meetings Interpersonal Skills and Temperament The ability to work in collaboration within a group to ensure that internal and external clients are satisfied and deadlines are met; to effectively communicate with all team members; to actively participate in and contribute to team meetings; to recognize and adapt to different work styles; to treat colleagues, supervisors, and clients with respect at all times; to participate in a proactive dialog to minimize misunderstanding, miscommunication, and conflict Technology Skills Technical proficiency in the use of Microsoft Suite products; Orion/CMP software; word-processing software, and spreadsheet software; the ability to apply technical knowledge to learn, retain processes, and utilize practice-specific internal software; advanced internet research skills; experience operating office equipment and technology, including imaging and scanning applications Resiliency The ability to nimbly adapt to change, both planned and unplanned; to balance competing demands in a fast-paced environment; skill in working with veteran clients with a wide range of medical and psychiatric conditions and temperaments Preferred Education and Experience · Law firm experience or experience in a legal environment Job Type: Full-time Pay: $40,000.00 - $45,000.00 per year Benefits: 401(k) 401(k) matching Dental insurance Health insurance Life insurance Paid time off Vision insurance Schedule: Monday to Friday Work Location: In person
