Position summary:
We are seeking a skilled and detail-oriented Level 2 Email Administrator to support and manage email infrastructure. This role involves troubleshooting complex email issues, ensuring high availability, and implementing best practices for email performance and security. The ideal candidate will have strong technical expertise in email systems, excellent problem-solving skills, and the ability to work effectively in a fast-paced environment.
Key Roles & Responsibilities:
- Monitor and maintain the health, performance, and availability of the email platform.
- Continuously monitor email security platforms (e.g., spam filters, anti-virus, anti-phishing, and email encryption tools) to detect and mitigate potential threats.
- Perform routine system administration tasks, including user account management (creation, modification, deletion), distribution list management, and mailbox management.
- Handle initial email security incidents, such as suspicious emails, spam, and phishing attacks. Escalate complex issues to higher-level administrators or security teams as needed.
- Manage email routing, DNS records (MX, SPF, DKIM, DMARC), and other related configurations.
- Diagnose and resolve email delivery issues, client connectivity problems, and other email-related errors.
- Assist with the setup, configuration, and maintenance of email security appliances and software. Ensure that security policies are applied and updated regularly.
- Regularly review and update email filtering rules to ensure unwanted or malicious emails are blocked. Provide reports and analytics on email security incidents.
- Document troubleshooting steps and resolutions in the knowledge base.
- Assist users in reporting suspicious emails and provide guidance on email security best practices. Conduct basic training sessions to enhance user awareness of email security threats.
- Ensure that email security practices comply with internal policies, industry regulations, and best practices. Document security incidents, changes to configurations, and system updates.
- Stay up to date with the latest email technologies and trends.
- Identify opportunities for process improvement and automation within the email administration function
Requirements
- Strong knowledge of email security protocols, including SPF, DKIM, and DMARC.
- Familiarity with email security solutions (e.g., Proofpoint, Mimecast, Barracuda, or similar).
- Strong understanding of common email-based threats like phishing, spam, and malware.
- Excellent communication and interpersonal skills.
- Strong problem-solving skills and the ability to troubleshoot issues post implementation phase.
- Strong documentation skills, with a focus on creating comprehensive records of configurations, policies, and procedures.
- Experience with email migration tools and processes (preferred).
- Strong understanding of ITIL process (Change, incident, and service tasks management).
- Knowledge of email compliance and retention policies.
- Experience with monitoring tools for email systems.
Basic Qualifications:
- Bachelor’s degree in Cybersecurity, Computer Science, or related field.
- Email Security certifications such as Barracuda, Proofpoint, Mimecast, CompTIA Security+, or Microsoft Security Certifications (preferred).
- 2–5 years of experience in email operations, endpoint security, and device management.
- Hands-on experience with either or Proofpoint, Mimecast solutions.
- Knowledge of malware detection, forensic analysis, and threat intelligence.
- Familiarity with SIEM integration, security policies.
- Basic scripting knowledge (PowerShell, Python, Bash) for automation (preferred).
- Strong problem-solving and troubleshooting skills.
- Good communication and teamwork abilities.
- Ability to work in rotational shifts (if required) and handle security incidents..
Preferred Qualifications
- Bachelor’s degree, in computer science, or information technology
- ITIL Foundation
- Experience with working in shifts and handling multiple client deployments
