Information Technology Project Coordinator
Location: Irving, Texas (Hybrid: 3 days per week onsite to start)
Contract: 12-month contract to start with strong potential for extension
Our client, a global leader in the convenience retail industry, is seeking a proactive and detail-oriented Project Coordinator / Project Manager to support ongoing initiatives within their enterprise operations. This is a long-term contract opportunity based in Irving, TX, with a hybrid schedule (initially 3 days onsite per week, with potential for reduced onsite presence post-onboarding).
Key Responsibilities:
- Support project delivery by coordinating with Senior Project Managers (PMs) and Subject Matter Experts (SMEs).
- Ensure timely updates and reporting from team members responsible for maintaining project plans, rate logs, and sprint schedules.
- Facilitate cross-functional communication and status tracking across the project pipeline.
- Assist with documentation, reporting, and coordination of activities across the project portfolio team.
- Maintain oversight of project artifacts and ensure they are completed and up to date.
- Serve as a liaison between project leadership and operational teams.
Preferred Skills & Experience:
- Experience with ServiceNow is strongly preferred.
- Familiarity with Call Center operations, telephony systems, or ServiceNow integrations is a plus, but not required.
- Proficiency with Microsoft Project and Excel.
- Strong documentation skills and attention to detail.
- Excellent communication and interpersonal skills; comfortable coordinating and engaging with various stakeholders.
- A collaborative mindset and high energy with a drive to contribute to team success.
The main responsibility of a project coordinator is to ensure the project is running smoothly, on time and on budget. Duties typically include planning certain parts of the project, monitoring its progress, coordinating meetings and overseeing members of the project team. The IT Project Coordinator plays a pivotal role in supporting IT Project Managers and team members to ensure the successful delivery of projects. This involves coordinating the development of essential project artifacts, managing routine communications, and maintaining visibility into project status through consistent reporting.
Responsibilities
Project Strategy & Planning:
- Develop project strategy plans in collaboration with IT Project Managers.
- Partner with project teams to identify goals, requirements, and deliverables.
Documentation & Reporting:
- Create, manage, and maintain project documentation, including reports.
- Track, forecast, and provide regular updates on progress, metrics, risks, and changes.
Communications & Coordination:
- Collect and organize information needed for project intake, approval, and prioritization.
- Manage project timeframes, objectives, and communications.
- Act as a subject matter expert for IT project planning processes.
- Support daily management meetings, scheduling, and other project team activities.
Analysis & Problem Solving:
- Gather, analyze, and communicate requirements, business processes, and policies.
- Identify and implement solutions to drive successful project outcomes.
Required Skills
- Project Management certifications (e.g., PMP, PRINCE2) or a 2-year college degree.
- A minimum of 5 years of experience as an IT Project Coordinator, Project Analyst, Business Analyst, or in a similar role.

- Strong analytical and problem-solving abilities.
- Exceptional research and reporting skills.
- Excellent verbal and written communication skills.

- Experience in high-volume, complex environments.
- Familiarity with ServiceNow (preferred).
