Summary

SUMMARY


The primary function of the Human Resources Assistant is to provide advanced administrative, organizational, coordinating, and clerical support to the Human Resources Team. These tasks include (but is not limited to) conducting reference checks, sending correspondences, assembling training materials, maintaining confidential HR documents, creating interview materials and providing administrative assistance to other departments during special projects. The Human Resources Assistant reports directly to the Human Resources Manager.


ESSENTIAL DUTIES


  • Conduct reference checks
  • Send correspondences to relevant stakeholders
  • Maintain and update reports and binders
  • Maintain the New Employee Orientation bi-monthly attendance list and invite
  • Send “First Day” emails to all candidates
  • Track attendance of various Human Resources events
  • Serve as the primary back up to the front desk receptionist
  • Deliver and retrieve documents from relevant departments and parties
  • Answer and transfer calls on a multi-line phone system and greet visitors
  • Provide information and direct callers/visitors to proper personnel, as well as screen telephone calls and direct visitors to the secure areas of Court Administration
  • Process sensitive/confidential documents
  • Set up and maintain files, books, records, and other departmental systems of responsibility
  • Provide clerical assistance to the Americans with Disabilities Act (ADA) Coordinator
  • Type documents, maintain calendars and process mail
  • Establish a working relationship with judges, court personnel, attorneys, law enforcement, social services, witnesses and the general public
  • Assist in maintaining files in file room
  • Shred documents

MINIMUM QUALIFICATIONS / KNOWLEDGE, SKILLS & ABILITIES


High School Diploma (or GED) and a minimum of one year of college or vocational school education in office skills, computer or closely related field; plus a minimum of two years related experience.


PREFERRED:

  • Bachelor's Degree; major in Human Resources


Relevant experience and/or education may substitute for the recommended minimum qualifications on a year-for-year basis.
