Summary

The Operations Manager will oversee the day-to-day administrative and operational functions of the hospital to ensure smooth delivery of patient care services. The role includes managing non-medical departments, leading nursing operations, coordinating with insurance providers, and streamlining administrative processes while maintaining compliance with hospital policies and statutory regulations. The candidate will act as a key liaison between medical and non-medical staff to ensure operational efficiency and excellence in patient experience.


Key Responsibilities

1. Hospital Administration & Daily Operations

  • Ensure seamless day-to-day operations of the hospital by managing non-medical departments such as housekeeping, security, front desk, billing, IT, and facility management.
  • Monitor and optimize resource allocation, including workforce, equipment, and supplies.
  • Develop and implement standard operating procedures (SOPs) across various departments for enhanced efficiency and compliance.
  • Handle vendor management, procurement, and supply chain for hospital inventory.
  • Monitor key performance indicators (KPIs) for hospital operations and prepare periodic reports for senior management.


2. Nursing Operations Management

  • Work in close collaboration with the Head of Nursing to ensure proper staffing, duty roster management, and high-quality patient care delivery.
  • Oversee training, development, and performance evaluation of the nursing staff.
  • Ensure adherence to clinical protocols, infection control measures, and quality standards in patient care.
  • Facilitate coordination between nursing staff and other clinical teams for efficient patient flow and service delivery.


3. Insurance & Billing

  • Manage relationships with insurance companies, TPAs (Third-Party Administrators), and government health schemes (e.g., Ayushman Bharat).
  • Oversee the insurance claims process, pre-approvals, and settlements to ensure timely reimbursements.
  • Ensure compliance with insurance policies and documentation, minimizing claim denials.
  • Review and streamline billing processes for transparency, accuracy, and efficiency.


4. Non-Medical Functions

  • Oversee non-clinical services, including housekeeping, cafeteria, engineering, maintenance, and biomedical waste management.
  • Ensure facility upkeep and adherence to regulatory requirements for safety and hygiene.
  • Handle patient grievances and provide solutions to enhance patient satisfaction.
  • Supervise front office operations to maintain an organized and patient-friendly experience.


5. Compliance & Audits

  • Ensure adherence to hospital policies, healthcare regulations, and statutory compliances such as NABH/NABL standards.
  • Conduct regular audits of hospital operations, nursing practices, and documentation.
  • Prepare the hospital for inspections by government or accrediting bodies.


6. Team Leadership & Stakeholder Coordination

  • Act as the point of contact between clinical, non-clinical, and administrative teams to ensure collaborative operations.
  • Lead, motivate, and mentor the operations team to drive performance and achieve hospital goals.
  • Coordinate with doctors, consultants, and department heads to resolve operational bottlenecks.


Qualifications

  • Bachelor’s degree in Hospital Administration (BHA) or equivalent. Master’s degree (MHA/MBA in Healthcare Management) preferred.
  • 7–12 years of experience in hospital administration/operations, with at least 3 years in a managerial capacity.
  • Hands-on experience in managing hospital insurance operations and TPA processes is essential.
  • Familiarity with NABH accreditation standards and healthcare regulatory requirements.
