Status: Full-Time, Non-Exempt

Job Purpose

Access to Healthcare Network (AHN) is seeking a highly organized and detail-oriented Grants & Data Systems Coordinator to support both our finance and data analyst functions. This is a hybrid position with equal responsibility across two key areas: grant billing coordination and data systems management (Salesforce/ TITAN). The ideal candidate brings experience in bookkeeping and grant accounting, as well as a strong understanding of data integrity, reporting, and CRM/database systems, preferably in healthcare or nonprofit settings.

Key Responsibilities & Duties

Grants Coordination (50%)

  • Prepare monthly grant billings in coordination with the Grants Manager.
  • Code invoices and patient care funds to appropriate general ledger and grant codes.
  • Review supporting documentation to ensure accuracy, allowability, and non-duplication of expenses.
  • Enter expenses into the accounting system and prepare grant invoices and reconciliations.
  • Create and maintain vendor accounts.
  • Maintain accurate records of all grant transactions.
  • Assist with preparation of grant budgets and budget revisions.
  • Generate billings and record cash receipts.
  • Support program directors with budgeting questions and reporting needs.
  • Maintain filing for accounting documentation, grants, and contracts.
  • Review travel reports and enter journal entries as needed.
  • Assist with monthly bank reconciliations and general audit preparation.
  • Abide by HIPAA requirements and maintain confidentiality.

Database & Reporting Management (50%)

  • Oversee quality control for all AHN programs through Salesforce database support.
  • Manage Salesforce user onboarding, role permissions, training, and troubleshooting.
  • Maintain and update a Salesforce Data Quality Handbook.
  • Ensure data integrity through regular audits and staff support.
  • Build and maintain Salesforce components to align with grant and internal program metrics.
  • Collaborate with program heads to determine benchmarks and generate insightful reports.
  • Deliver reports to internal stakeholders including executives and department heads.
  • Assist in data analysis to inform program improvement and grant reporting.
  • Prioritize reporting requests through an organized ticket or queue system.
  • Stay informed on Salesforce feature updates and functionality improvements.

Qualifications

Required:

  • Minimum 2 years bookkeeping/accounting experience.
  • Experience working with databases or client management systems. Salesforce preferred.
  • Proficiency in Microsoft Excel, Word, and general digital literacy.
  • Excellent attention to detail, organizational, and customer service skills.
  • Ability to manage competing priorities and deadlines independently.
  • Strong verbal and written communication skills.
  • Comfortable sitting at a computer for extended periods; able to lift up to 20 lbs.
  • Valid driver's license.
  • Ability to pass a background check through the State of Nevada.

Preferred

  • Degree or certification in Accounting, Business, or related field.
  • Experience with Accounting Seed or similar accounting software.
  • Salesforce CRM experience strongly preferred.
  • Experience in the nonprofit or healthcare sector.
  • Experience with training and/or teaching technical systems to staff.
  • Familiarity with HIPAA compliance in a healthcare environment.
