The Grants and Contracts Associate is responsible for pre and post-award administration of grant related projects, maintaining knowledge of grant submission and approval procedures, and assisting with the preparation of budget for grant proposals. This position will be the main liaison with principal investigators, the project team, and the University's Office of Sponsored Research Post-Award (OSP). The Grants and Contracts Associate will also be responsible for facilitating the daily business activities, accounting and budgeting activities within the department. The Grants and Contracts Associate is responsible to identify, analyze, and report administrative operational inconsistencies; review program policy and maintain effective internal and external communication channels; research regulatory compliance policies and apply discretionary judgment in the coordination and follow-through of all aspects of the Mile Square Health Center Finance department.
Duties & Responsibilities:
Manage the administration for the pre and post award grant process for Mile Square grants and contracts. This includes:Preparation of grant and contract budgetsAssist the Office of Sponsored Research with grant submission and grant close out procedures Recording and monitoring grant expenses Preparing monthly grant reconciliations Review invoices prepared by Office of Sponsored Research Prepare invoices for grants and contracts as needed Perform labor redistributions Perform expenditure transfers Miscellaneous reporting to granting agencies Monitor financial status and program performance of grant projects Maintain knowledge of grant funding policies, regulations, and procedures. Disseminate information to PIs, project teams, and business managers. Assist Principal Investigators in preparing grant proposals including budget preparation, completing forms, obtaining signatures. Serve as the main liaison with principal investigators and the University's Office of Sponsored Research (OSP) and the Grants Management Office. Monitors, maintains and/or approves the financial status and program performance of the grant project; forecasts cash requirements, cash flow, and spending rates; monitors, prepares and/or directs the preparation of the fiscal reports. Ensures all contractual requirements have been met; reviews, edits, and approves fiscal portions for the awards; completes the closeout requirements including a review of the final financial and technical reports. Performs related accounting functions required to maintain the general ledger in compliance with Generally Accepted Accounting Principles and University policies and procedures. Assists with the monthly reconciliation of balance sheet accounts and ensure any errors are properly corrected in a timely manner. Assists with the monthly analysis of income statement activity and ensure any errors are properly corrected in a timely manner. Assists with the month-end closing process. Responsible for the preparation of grant-related audit schedules and assist with the preparation of other year-end workpapers for auditors. Assist the Controller with the annual financial audit. Responsible for creating and maintaining internal control documentation, as well as evaluation of business processes and recommend improvements for efficiency. Perform other related duties and participate in special projects as assigned.
Minimum Qualifications Required:
* Bachelor's degree in business administration, accounting, finance, economics or a field related to the position
* Additional knowledge, education, training and/or sponsored project experience in the area of specialization inherent to the position may be required
Preferred Qualifications:
* Three years' experience with pre or post-award grant management and submission.
* Minimum two years of professional level accounting experience.
