DEPARTMENT SUMMARY: The Finance Department is a team of approximately 20 employees responsible for all financial and accounting matters of the Centers’ ten locations throughout the Los Angeles area. There are a wide variety of areas within the Finance department, including treasury, accounting, government grants, tax, contracts, and risk management. The Finance Department is a team of hardworking individuals who are committed to provide timely financial reporting, so that the Center can continue to provide much needed services to the community.
JOB SUMMARY: The Grants Accounting Coordinator provides fiscal and administrative support and ensures compliance with all funding requirements on contracts and grants for the Center. Responsibilities will include accurately recording financial transactions related to grants, preparing financial reports, monitoring grant budgets, tracking revenue and expenditures, reconciliation, analyzing and maintaining financial transactions, and assist in process and policy improvement. Additionally, the position will collaborate with various departments, program managers and directors, and funding agencies to ensure proper financial administration of grants throughout their lifecycle.
Essential Functions
- Work closely with program directors, managers, and project teams to understand the financial needs and objectives of each grant-funded project and ensure seamless grant administration.
- Serve as the fiscal contact for funders to understand specific grant requirements, ensure compliance with contract terms and conditions, and ensure reporting requirements are met.
- Collaborate and coordinate with other departments, program management, and grants management team to assist in the preparation of budgets and financial sections of grant proposals, renewals, close-outs, and fiscal and programmatic site visits to ensure accuracy and alignment with funding agency guidelines.
- Prepare and process monthly invoices, reimbursements, cost reports, financial reports, general ledger journal entries, and other financial documentation necessary for grant-funded activities.
- Reconcile grant-related financial transactions such as revenue, receivable, and expenses to the general ledger at month-end and year-end.
- Generate ad-hoc reports, conduct periodic audits, and provide analysis of monthly variance reports to assist management and program staff in making informed decisions regarding grant-related activities to ensure grants are spent.
- Assist in grants collections.
- Provide support to the finance department during the month-end close process.
- Reconcile and manage deferred grant revenue to identify and reclassify grant revenue earned to proper fund.
- Monitor, review, and prepare grant budgets, budget modifications, renewals, and applications, and maintain an active listing of progress (i.e., pending, in progress, submitted, approved, disapproved, etc).
- Recommend and develop changes to the Los Angeles LGBT Center’s Accounting Policies & Procedures manual based on professional judgment and knowledge of internal control requirements.
- Manage subcontractors when necessary, and perform periodic fiscal monitoring, review budgets, and reimbursement requests, and ensure subcontractors follow contracts terms and conditions, and financial policies and procedures.
- Collaborate with auditors during internal and external audits to provide necessary documentation and resolve any financial-related issues.
- Attend mandatory conferences, meetings, trainings.
- Identify opportunities for process improvements and efficiency in grants management procedures
- Other duties and special projects as assigned.
Job Qualifications And Experience
- Knowledge of or experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people.
- A passion for the Center’s work and its mission to make the world a better place for LGBTQ people.
- Minimum 1 year, preferred, progressive experience in grant accounting and working in a dynamic multi-service environment.
- Minimum 3 years of experience in related field or equivalent education with a concentration in Finance or Accounting.
- Demonstrated ability to meet deadlines in a fast-paced environment.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Proven inclination to implement successful solutions.
- Proven focus on superior internal and external customer service.
- Excellent analytical and problem-solving skills.
- Strong verbal and written communication skills, including strong interpersonal and organizational skills.
- Strong computer skills and knowledge including automated accounting systems; word processing, spreadsheets etc.
