GENERAL AND INVESTMENT ACCOUNTING MANAGER

JOB SUMMARY

The General and Investment Accounting Manager is responsible for managing the accounting functions

for multiple legal entities, including both operating business entities and personal entities of the family

office. This role involves day-to-day accounting for business operations and investments held by family

members, utilizing the SEI Archway software platform. This role blends advanced accounting expertise

with investment analysis to ensure the family’s wealth is effectively managed, preserved, and

strategically grown. Strong communication skills and the ability to maintain confidentiality are essential.

KEY RESPONSIBILITIES

  • Oversee and manage the accounting functions for multiple legal entities, including operating businesses and personal entities.
  • Perform day-to-day accounting tasks for business operations, ensuring accuracy and compliance with relevant regulations.
  • Handle day-to-day accounting for investments held by family members, including tracking and reporting on investment performance.
  • Utilize SEI Archway software platform for accounting and reporting purposes.
  • Prepare and analyze financial statements, ensuring accuracy and completeness.
  • Manage accounts payable and receivable, including invoicing and payment processing.
  • Oversee payroll for all entities, ensuring accurate tax withholdings and benefit administration.
  • Reconcile bank statements and investment accounts regularly.
  • Maintain strict confidentiality of all financial and personal information.
  • Communicate effectively with family members and other stakeholders, providing clear and concise financial reports and updates.
  • Assist in budgeting and forecasting processes for both business and personal entities.
  • Ensure compliance with internal controls and accounting policies.
  • Coordinate with CFO regarding external auditors and tax advisors to ensure compliance with financial and tax regulations.

JOB DUTIES

Financial Recordkeeping and Reporting

  • Maintain accurate accounting records for all entities including business operations, trusts, foundations, partnerships and personal accounts.
  • Handle complex inter-entity transactions and ensure proper reconciliation.
  • Prepare monthly, quarterly, and annual financial statements and budgets for all entities, ensuring timely and accurate reporting.
  • Monthly reconciliation of all balance sheet accounts for all entities.
  • Create comprehensive, tailored reports for stakeholders and family members to meet their preferences, summarizing financial health, investment performance, and tax positions.
  • Present findings during family meetings and provide actionable recommendations.

Investment Accounting

  • Track and record all investment transactions, including purchases, sales, dividends, and interest income.
  • Prepare detailed reports on portfolio performance, including metrics like Internal Rate of Return (IRR) and risk-adjusted returns.
  • Benchmark performance against market indices and family objectives.
  • Daily and monthly portfolio reconciliation of buy and sells.

Cash Management

  • Monitor cash flow and manage liquidity to ensure sufficient funds are available for operational and family needs.
  • Daily review and approval of cash inflows and outflows on various banking platforms including positive pay.
  • Handle deposits to the bank, as necessary.
  • Monthly bank account reconciliation.

Disbursement Management

  • Oversee the processing of all disbursements, ensuring timely and accurate payments of payments by the Disbursements and Payroll Accounting Specialist.
  • Ensure all expenses are properly documented.
  • Approval of payments through the bank, and printing of checks, as necessary.
  • Set up positive pay rules as applicable for CFO approval.
  • Track spending across categories (e.g., health, philanthropy, specific assets and personal purchases) and flag potential overages or concerns.
  • Backup to Disbursements and Payroll Accounting Specialist for invoice entry and payment processing.

Payroll Management

  • Supervise the Disbursements and Payroll Accounting Specialist in processing payroll, including one-time payment, bonuses, and other specialized transactions such as employee deductions.
  • Review of new hire setups including direct deposit information and compliance documentation.
  • Reconcile payroll reports to approve payroll for final transmission through ADP and posting.
  • Maintain payroll reports and files ensuring accuracy for record keeping and audits including W/C.
  • Review setup, maintenance, and reconciliation of all employee payroll garnishments, tax forms, direct deposits, and other employee benefits, including coordination and communication with the employee as needed regarding deductions.
  • Backup to Disbursements and Payroll Accounting Specialist for new hire documentation and payroll processing.

Mentorship

  • Mentor and supervise the Disbursements and Payroll Accounting Specialist, providing guidance and support for all aspects of the role.

Policy Development

  • In collaboration with the CFO develop and implement accounting policies and standard operating procedures to enhance internal controls and operational efficiency.

Compliance and Taxation

  • Assist in the preparation of tax returns and ensure compliance with all relevant tax laws and regulations with local, state, and federal regulations, as well as international tax obligations, if applicable.
  • Collaborate with the CFO and external tax advisors to provide data for tax return preparation.
  • Where applicable, liaise with external auditors during annual audits, providing necessary documentation and responding to inquiries.

Software Utilization and Technology Integration

  • Maintain and update accounting records using SEI Archway software, ensuring data integrity and accuracy.
  • Leverage financial and investment software to improve reporting accuracy and streamline data aggregation.

Confidentiality

  • Ensure all financial, business and personal information is handled with the utmost confidentiality and security.

QUALIFICATIONS

  • Bachelor's degree in Accounting, Finance, or Economics; advanced certifications like CPA, CFA, or CFP preferred.
  • Minimum 5 years of combined accounting and investment management experience, preferably within family office or wealth management environments.
  • Minimum 2 years of accounting experience with manufacturing companies.
  • Proficiency in SEI Archway software platform or similar accounting software.
  • Strong understanding of accounting principles and financial regulations.
  • Excellent communication and interpersonal skills.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple tasks and priorities effectively.

  • Strong organizational skills and attention to detail.
