Job Summary:

We are seeking a professional and customer-focused Front Office Coordinator to join our team at Beyond Designs. The ideal candidate will be the first point of contact for visitors and clients, ensuring a welcoming experience while efficiently managing front desk responsibilities. This role requires excellent communication skills, strong organizational abilities, and a friendly demeanor to maintain a positive company image.


Key Responsibilities:

  • Greet and welcome visitors, clients, and guests with a positive and professional attitude.
  • Answer, screen, and forward incoming phone calls in a courteous manner.
  • Manage front desk operations including handling correspondence, emails, and courier services.
  • Maintain accurate visitor logs and issue visitor passes as required.
  • Assist visitors and employees with inquiries and provide necessary information.
  • Schedule and coordinate meetings, appointments, and manage conference room bookings.
  • Perform basic administrative tasks such as filing, data entry, and document management.
  • Ensure the reception area is tidy, organized, and presentable at all times.
  • Manage office supplies inventory and report stock requirements.


Requirements & Qualifications:

  • Bachelor's degree or equivalent education preferred.
  • Minimum 1–3 years of experience in a front office, receptionist, or similar administrative role.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Professional appearance and excellent customer service skills.
  • Ability to handle confidential information with discretion.
