Position Summary
Electra Link is seeking a Front Office Administrative Assistant to support the daily operations of our Spring office. The ideal candidate is a high-energy professional with strong organizational skills, excellent communication abilities, and a proactive approach to administrative tasks.
Key Responsibilities
  • Field Inbound Communications
    • Answer phone calls and general email inquiries
    • Direct calls and messages to appropriate internal contacts
  • Coordinate Scheduling
    • Schedule meetings for internal and external stakeholders
    • Maintain conference room calendars and availability
  • Organize Internal Resources
    • Maintain filing systems and inventory of office supplies
    • Ensure the front desk and administrative tools are orderly and efficient
  • Liaise with Visitors
    • Greet and assist office guests and vendors
    • Ensure sign-in procedures and guest protocols are followed
  • Communicate Policies & Procedures
    • Distribute internal updates, announcements, and changes to processes
  • Support HR & Safety Teams
    • Assist with onboarding documentation and administrative follow-up
    • Help organize safety forms, badges, and compliance tracking
Qualifications
  • Education: High school diploma or equivalent
  • Experience: 1–2 years in an administrative assistant or receptionist role (preferred)
  • Language: Bilingual in Spanish is a plus
  • Skills:
    • Strong organizational and time-management skills
    • Excellent verbal and written communication
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    • Familiarity with office equipment (e.g., printers, scanners, projectors)
    • Ability to work in a fast-paced environment with a positive attitude
    • Professional demeanor, discretion, and problem-solving mindset
