Summary

PRE-EMPLOYMENT SCREENINGS: Brenau University will conduct criminal background checks on all persons being considered for initial employment. In some circumstances, an FBI fingerprint report may be necessary to satisfy the requirement. Once employed, employees must hold and continue to maintain a favorable criminal history background. Random background checks are performed. Credit checks may be performed on candidates/employees who are selected for a position that regularly engages in handling credit cards or other company monies. A Motor Vehicle Report (MVR) may be performed during the hiring process, or as part of a random check. MVR checks are required to meet insurance requirements for those employees operating a university vehicle or participating in any driving activity on behalf of Brenau University, (including operating a golf cart, rented vehicle or one's personal vehicle). Employees who travel must be at least 21 years of age, have a valid Georgia driver's license, and good driving record. All employees who operate university vehicles, who are employed in a sensitive position, or who travel regularly as part of their job responsibilities may be subject to post-hire drug screening and random drug-screening. DRUG-FREE WORKPLACE: Brenau University is a drug-free workplace as certified by the Georgia Workers Compensation Board. -View Policy Minimum Qualifications: * Bachelor's degree preferred; prior experience in college financial aid administration or other related student services area preferred, but not required. * Excellent computer skills, including Windows concepts, Microsoft Office applications, and Google Apps (Gmail, Drive, etc.) required; ability to formulate and execute data queries within student information systems/financial aid management systems necessary. * Following adequate training, demonstrate proficiency in use of web-based software applications essential in the administration of student financial aid, including COD (plus R2T4), EdConnect, FAFSA Partner Portal, SURFER/CHECS, and NSLDS; demonstrate proficiency in navigating the financial aid module of Collegix (Campus Edition). * Attention to detail and follow-through skills essential; excellent customer service, organizational, time-management, confidentiality, analytical and decision-making skills imperative; good writing and communicating skills necessary; positive attitude and ability to work well with others in a team effort very important. Responsibilities: * Provide comprehensive customer service to assigned caseload. Includes taking phone calls and assisting walk-ins; responding to voicemail and email messages typically within 24 hours, but no later than 48 hours from receipt of message; counseling students in the completion of financial aid applications, submission of other required documents, and educational funding options. * File review and packaging. Includes assigning appropriate cost of attendance budgets; packaging federal and state in accordance with the rules and regulations governing each; communicating with Verification Manager regarding verification requirements and FAFSA C Codes; reviewing students' previous financial aid/enrollment history for overlapping payment periods; identifying remaining annual eligibility for mid-year transfers; and making residency and grant eligibility determinations for state grants/scholarships * Establish an efficient system for prioritizing file review and packaging, utilizing available information from Admissions records and routine ISIR download reports. * Communicate with personnel in other administrative and academic departments as necessary to facilitate students' successful enrollment and progress through their respective programs. * Perform satisfactory academic progress (SAP) reviews for student caseload, placing appropriate restrictions on records, and notifying students of actions taken and eligibility implications. * Upon a student's withdrawal, accurately and timely perform Return of Title IV (R2T4) calculations, adjusting students' financial aid records as indicated (unless this task is being performed by an operational member of the staff). * Participate in orientations and other student information events, either virtual or on the historic or regional campuses as needed. * Be aware that enrollment and workload shifts, as well as regulatory changes, may alter demands of the department, resulting in the necessity to re-align staff duties and responsibilities on a temporary or permanent basis. * Participate in Brenau-mandated staff training; participate in approved financial aid training/professional development in order to ensure compliance with related requirements and regulations, or to enhance office technology skills. Supervisory Responsibilities: No supervisory responsibilities required. Work Hours & Schedule: Full-time. 37.5 hours per week. Generally, Monday-Friday from 8:30 a.m.- 5:00 p.m. Hours may be extended to meet the needs of the department. Campus Designation: Gainesville Historic Campus/ on-ground position Environmental and Working Conditions/ Physical Demands and Aptitudes: Sedentary work. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. Must have the ability to travel short distances, and/or drive a vehicle to deliver and pick up materials. Exerting up to 15 pounds of force to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Title IX Implications: Responsible employee Any employee who is not a confidential employee. Brenau University requires that all Responsible Employees MUST report any possible sexual harassment or discrimination based on sex to the Title IX Coordinator when the employee has information about conduct that reasonably may constitute sex discrimination or sex-based harassment under Title IX or this part. Employees are encouraged to report these concerns in writing via email. When an employee or a student (or a person who has a legal right to act on behalf of a student) informs any employee (including both Responsible and Confidential employees) of the employee's or student's pregnancy or related conditions, that employee must promptly provide that person with the Title IX Coordinator's contact information and inform that person that the Title IX Coordinator can coordinate specific actions to prevent sex discrimination and ensure the employee's or student's equal access to the Recipient's education program or activity. Payroll Status: Hourly-Non-Exempt Travel Requirements: No travel required. Special Requirements: May be subject to pre-employment criminal history background check, random credit checks, MVR, drug screen, and criminal history checks.
