Financial Aid Manager

Our nationally accredited proprietary school in Oakland County is hiring a Financial Aid Manager to supervise the department by administering financial aid funds and institutional scholarships. This is an excellent opportunity for someone who likes keeping orderly records while still enjoying communicating with a variety of people. Please note that Financial Aid refers to educational Title IV Funding and is not the same as finance. The Federal Department of Education has strict regulations, policies, and procedures that must be followed.

The ultimate schedule for this position is dictated by being present to get the job done and available to meet student needs. Some flexibility will be required to facilitate student meetings. As enrollment approaches or workload dictates, some weekend hours may be necessary.


Responsibilities include the following items:

  • Keeping an organized schedule to ensure responsibilities are completed on time.
  • School applicant's FAFSAs are processed.
  • Clear and accurate information is provided to school applicants.
  • Pell Grant and Direct Stafford Loans are accurately calculated.
  • Applicants are notified of their financial aid eligibility.
  • All veterans’ benefits are accurately applied for and disbursed.
  • Export/Import student files to/from third party servicer.
  • Attend necessary training/workshops to stay updated on Title IV program regulations.
  • Perform refund calculations on students being dismissed or withdrawing from the program.
  • Professional judgements regarding eligibility for students with special circumstances are executed appropriately.
  • All students utilizing Title IV funds receive entrance and exit counseling.
  • Disbursements are requested after 50% completion of the students’ program.
  • Title IV funds are received and credited to student accounts.
  • All Title IV transactions are closely monitored.
  • Academic progress is monitored for all financial aid students.
  • Communicate with students to inform them of any issues related to their Title IV eligibility.
  • Procedures are implemented to ensure low default rates for the school's alumni.
  • Complete IPEDs, SSCRs, Gainful Employment, and other reports required.
  • Update ECAR and PPA as needed.
  • Scholarship applications are thoroughly reviewed and fairly evaluated.


Required Characteristics:

  • Knowledge of federal and state Financial Aid regulations required.
  • Minimum 3 years of successful experience in financial aid management, particularly in a higher educational setting.
  • Strong customer service aptitude and ability to motivate staff.
  • Ability for critical and logical thinking, good judgment, and problem solving.
  • Skills to create and use appropriate paper trails to document student files.
  • Strong leadership and organizational skills.
  • Able to communicate all essential facts and figures to the Executive Director.
  • Proficient in Microsoft Office Suite and able to thoroughly learn the Student Information Software
  • Provide solutions for delivering quality service to students.
  • Ability to work independently and as part of a team.


The Financial Aid Manager will perform standard financial aid duties such as assisting students in completing FAFSAs, needs analysis, verifications, professional judgements, loan processing, and academic progress monitoring. This person coordinates student loan processing between students, the federal government, and the school. In addition to assisting individuals in completing FAFSAs according to protocol and regulations, this requires communication with students and families to ensure they fully understand their loans and repayment.


The Financial Aid Manager also ensures that Title IV refunds and repayments, including U.S. Department of Education and National Student Loan Data System notifications, are executed correctly. The person also implements and revises policies and procedures to ensure compliance with federal financial aid and scholarship regulations. The manager attends training necessary to keep knowledge current.
