Summary

Purpose: UT Libraries seeks an organized, detail-oriented manager with a focus on excellent, customer-centered service to supervise a dynamic team of five that supports the financial and administrative operations of the UT Libraries.


Responsibilities

  • Staff and Office Management: Supervise and develop a team of five professionals. Provide support and training to ensure an effective combination of specialization and cross-training.  Develop, improve, or sunset workflows to ensure effective processes.
  • Financial Expenses Oversight: Review and approve travel and entertainment reimbursements, vendor payments, and interdepartmental vouchers. Review and approve purchase requests, purchase orders, and contract requests. Establish best practices and make recommendations to streamline internal processes and provide greater transparency and risk reduction. Ensure compliance with federal, state, and university policies.
  • Report Preparation: Produce financial reports and assist with quarterly budget report preparation for the Chief Financial Officer. Perform financial analysis of accounts and programs. Review team reports and provide ad hoc financial reports as requested.
  • Account Oversight and Reconciliation: Monitor account balances, expenditures, and encumbrances. Oversee reconciliation of accounts. Request new accounts. Manage accounts receivables.
  • Other related functions as assigned.


Required Qualifications

  • Associate’s degree and eight years of progressively responsible experience in finance or accounting with experience in planning, forecasting, and financial analysis, OR a bachelor’s degree and six years of progressively responsible experience in finance or accounting with experience in planning, forecasting, and financial analysis.
  • Three years of supervisory experience (can be concurrent with previous requirement).
  • Commitment to creating a welcoming environment that values different perspectives and approaches.
  • Excellent interpersonal and communication skills with a focus on diplomacy and discretion.
  • Demonstrated ability to plan, initiate, and complete assignments with minimal direction.
  • Demonstrated high attention to detail and organizational skills with the ability to prioritize workflows and meet deadlines.
  • Demonstrated experience showing resourcefulness and persistence in problem solving.


Relevant education and experience may be substituted as appropriate.


Preferred Qualifications

  • Bachelor’s degree in Finance, Accounting, or Business Administration
  • Experience at UT Austin, or a university environment.
  • More than the required experience.
  • Experience being progressively responsible for procurement and payment processing.
  • Experience with university administrative systems such as *DEFINE, FRMS, Cognos, and Workday.

Work Shift: Monday-Friday, between the hours of 7am and 6pm, as arranged with manager.; flexible work arrangements with up to two days remote available after initial onboarding.
