Reporting to the Executive Director of Facilities Services, the Facilities Service Contracts Manager shall serve as primary administrative leader in the areas of contract and lease administration, strategic/tactical planning, best business practice reviews and customer service for all Facilities Service Contract actions.

Job Description

  • Facilities O&M Contract Administration - Serve as the Facilities Operations and Maintenance Contract Administrator (value of contracts $2.5M with ~15 vendors). Prepare the following for assigned contracts: specifications of commodities and services; metrics to evaluate and compare vendor proposals to supply UNH with commodities and services; and evaluate vendor performance of apprising UNH of both new commodities and services as they are available, and commodities and services that most closely meet the needs of UNH. Review and approve both baseline and incremental contract service invoices. Document costs in the Departmental software (AIM).
  • Work in collaboration with the UNH Procurement to conduct all Facilities Operations and Maintenance competitive bid processes, evaluate and select most responsible bids, and develop contract language between UNH/USNH and selected vendors of commodities and services for execution of contracts.
  • Maintain consumption statistics emanating from all contracts to record unit price, frequency of use, location of use of all commodities and services procured in order to assist managers with budgeting and forecast near and long term planning for the procurement of commodities and services.
  • Serve as the single point of contact for Facilities Operations & Maintenance with regard to coordinating notices to contractors, remediation of all contract disputes, and negotiations for all Facilities Services Contracts., Enjoin the multiple teams within Facilities Operations and Maintenance to identify near and long-term plans for efforts to sustain functionality of facilities services contracting and related functions, improvement of the internal business processes of the performance and productivity, and greater service to the customer all withing finite financial resources.
  • Provide analysis and reports relative to contracted services. Track trends and progress toward established goals.
  • Perform routine and ad hoc analysis and reports to inform Facilities Operations and Maintenance management and all interested parties about the composition of the Facilities Operations and Maintenance Service Contracts, the resources provided to it by the institution, and the application of resources in keeping with the Facilities Operations and Maintenance Strategic Plan and with the Facilities Operations and Maintenance budget., Customer Service – develop, disseminate, and modify as needed the articulation of Facilities Operation and Maintenance services delivered via Service Contracting to the UNH community by means of Responsibility Centered Management (RCM). Provide overview of master service level agreements and review these with the responsible RCM units. Serve to support negotiations with individual RCM units by the Facilities Operations and Maintenance lead director and assist with formulation of ancillary agreements defining additional services to be delivered. Monitor vendor performance of work against obligations all service level agreements and create periodic management reports for use by Facilities Operations and Maintenance managers. Design maintain and modify all means and methods of communications with customers of Facilities Operations and Maintenance including but not limited to coordinating the update of the Facilities Operations and Maintenance website, routine customer communication, and periodic community reports. Utilize the contract module of the AssetWorks software to produce analysis as needed. , Perform all other duties as assigned.

Minimum Qualifications

  • BS/BA in Business Administration or technical field.
  • Minimum of 3-5 years of work experience in business administration and prior experience as a procurement manager, preferably in a Facilities operation.
