Summary

Our Client is a woman owned and locally owned and operated full-service tree care company with more than 20 years of experience in caring for urban trees in the DFW metroplex.

This full-time position provides professional and personal support to the Owner and serves as the primary contact and liaison on behalf of the Owner with internal and external contacts as well as in personal business relationships. Working closely with the Owner, the Executive Assistant is a key administrative position providing comprehensive administrative support, coordination and project management.

This position’s schedule will require adaptability and the ability to take initiative and work autonomously. The position allows for flexibility in the work environment and schedule with the understanding that all deadlines are met, without exception, and that the assistant determine a daily and weekly schedule based on business needs.

Administrative Responsibilities

  • Perform complex administrative functions for the Owner while demonstrating the highest level of discernment, discretion, and confidentiality.
  • Manage communications, correspondence, and mail.
  • Act as property manager and Owner’s representative conducting business on behalf of the Owner including but not limited to Texas Tree Surgeons property and Owner’s personal properties.
  • Represent the Owner as appropriate. Representation may include acting as an extension of, or liaison for the Owner regarding both, Texas Tree Surgeons and personal business.
  • Perform essential financial functions for the Owner including personal bill payment and household accounting/accounts payable.
  • Ensure Owner is fully briefed on important events, scheduling, and prepared for all meetings, events, and travel.
  • Coordinate all logistics related to Owner’s professional and personal travel ensuring important dates are tended such as vital document expiration dates, etc.
  • Research and prepare materials for meetings, compiling and creating visual or reference materials. Attend and provide support for meetings.
  • Create, implement and maintain all administrative systems that ensure a smooth operation for all functions of the office of the Owner.
  • Manage Owner’s calendar ensuring strong organization and readiness at all times.
  • Handle professional and personal errands and logistics on behalf of the Owner.
  • Maintain impeccable record keeping for all functions of responsibility.
  • Other duties as assigned.

Skills / Requirements

  • Minimum 3 years of experience supporting an executive.
  • Ability to communicate effectively, both orally and in writing.
  • Advanced proficiency in Microsoft Office Suite, Google Workspace, QuickBooks.
  • Proven ability to take ownership of responsibilities and execute tasks with little immediate oversight and direction.
  • Exceptional ability to learn independently and swiftly adapt to new tasks, environments, and technology.
  • Strong problem-solving skills with the ability to address challenges proactively.
  • Must have a valid Texas Driver’s License and clean driving record.
  • Physical Requirements
  • Ability to lift 25 - 50+ pounds on a regular basis.
  • Continuous bending, lifting, and overhead movement.

Additional Experience a Plus

  • BS or BA Degree, or degree in process
  • Bilingual
