About The Role

The role of Executive Project Assistant is a unique opportunity to support the Chief of Strategy, Sustainability & Marketing (SS&M) at Signify in a function that blends high-level executive support with strategic coordination. Based in Amsterdam (Eindhoven could be considered), you will play a key role in both daily operations and department-wide planning and communication.

In Your Executive Support Capacity, You Will

  • Manage the Chief’s calendar, travel arrangements, expense reporting, and confidential correspondence.
  • Handle internal communications on behalf of the Chief, ensuring clarity and consistency.
  • Support the Management Team with meeting logistics and administrative coordination when needed.
  • Maintain the yearly departmental calendar and manage senior team members onboarding/offboarding.
  • Ensure compliance with Signify policies for document handling, data management, and internal processes.

In Your Project Management And Coordination Capacity, You Will

  • Organize and document key leadership meetings, such as monthly Management Team meetings and Quarterly Functional Reviews.
  • Coordinate the annual strategic planning process across the SSM function.
  • Plan and deliver department-wide events, including Townhalls, Share sessions, and annual Get Togethers.
  • Prepare presentations, reports, and other materials to support strategic decision-making.
  • Act as a liaison between the Chief, Management Team, and SSM teams to ensure alignment and timely follow-up on actions.

About You

While we value and appreciate all applicants, we believe that the following experience and skills will be needed for this job opening:

  • University Bachelors’ degree with experience in executive support, project coordination, or hybrid operational roles.
  • Strong organizational and project management skills; structured, detail-oriented, and proactive. Able to work independently, manage priorities, and collaborate across teams.
  • Comfortable handling confidential topics with discretion and integrity.
  • Excellent written and verbal communication and senior stakeholder management skills.
  • Advanced proficiency in Microsoft Office (Outlook, PowerPoint and Excel).
  • Experience with new digital productivity tools such as artificial intelligence, etc.
  • Eager to gain exposure to strategic planning and the broader SSM function.
