Executive Assistant to the Associate Superintendent for Communications and Community Engagement

Job Title: Executive Assistant to the Associate Superintendent for Communications and Community Engagement Reports To: Associate Superintendent for Communications and Community Engagement Classification: Paraprofessional (Clerical/Teacher Assistant) Wage/Hour Status: Non-exempt Days: 230 Salary: See Compensation Plan for Paraprofessional/Administrative Support Staff, Pay Grade 210 Contract: None Date Revised: 5/2/2025 Primary Purpose: Responsible for the management and operations of the office of the Associate Superintendent for Communications and Community Engagement. Also responsible for providing administrative, program and training support for division teams, including Partnerships and Volunteer Programs, Family E3, Mentoring, and Communications. Support all division-sponsored events and community engagement efforts. May be assigned full responsibility for the management of particular programs, initiatives and/or services as identified by the Associate Superintendent for Community Engagement. Qualifications/Skills: Education/Certification:

  • Associate's degree or higher, or commensurate work experience strongly preferred.

Special Knowledge/Skills:

  • Minimum Assessment Standard: Broad knowledge of MS Word, MS Excel.
  • Knowledge of Google Suite (Docs, Sheets, and Slides), Outlook, Raptor, PowerPoint, Zoom and Skyward preferred.
  • Computer skills include word processing, spreadsheets, database management, email.
  • Bilingual Spanish (strongly preferred).
  • File maintenance and inventory skills.
  • Proven budget management skills (Munis experience a plus).
  • Proven excellence in organizational, communication, problem solving abilities, and interpersonal skills.
  • Excellent written communications skills.
  • Strong customer service skills.
  • Conscientious work habits and high degree of professionalism.
  • Demonstrated success with responsibilities requiring exceptional attention to detail and ability to think and act proactively.
  • Excellent interpersonal skills, ability to perform multiple tasks and to work harmoniously with multiple personnel.
  • Demonstrated success and willingness to take direction from and balance work load among multiple supervisors.
  • Ability to work overtime/evenings/some Saturdays for event coordination and support.
  • Ability to use personal computer and software.

Experience:

  • Previous program and executive support experience, at least three years preferred
  • Event planning support

Major Duties and

Responsibilities:
Community Relations Programs:

  • Direct responsibility for coordination, communication, record keeping and organization for the activities and initiatives under the responsibility of Associate Superintendent for Communications and Community Engagement and other team members as assigned.
  • Schedule appointments for the Associate Superintendent and maintain a weekly calendar of meetings and events.
  • Arrange and coordinate meetings for advisory committees, task forces and other groups, including preparation of agendas and all meeting materials.
  • Serve as the key contact person and liaison between the Associate Superintendent and other District departments, staff and the community.
  • Back up division budget manager on all budgets, financial processes, and payroll for Communication and Community Engagement departments.
  • Provide support for volunteer registration and clearance, volunteer liaisons, Raptor visitor management system and other aspects of volunteer programs as may be identified.
  • Provide support for Community Engagement programs which include, but are not limited to: District Improvement Team, Teacher of the Year, Character Without Question, Good Neighbor Program, Dictionary Project, stakeholder groups, partnership convenings, J. Landon Short Mini-Grant Program, employee and volunteer recognition programs, after school programs, enrichment programs, SpringBoard and Collegiate Challenge Mentor Programs, Service Awards, special audience engagement events, Parent U events, Trainings, Bond Program Events, XtraCredit, and special taskforces and committees.
  • Coordinate scheduling of quarterly reviews and tracking of division action plans under the District Improvement Plan.
  • Assemble, organize and submit Board of Trustees Agenda items according to district procedures.
  • Respond to stakeholder emails and phone inquiries as may be required.
  • Support Associate Superintendent for Communications and Community Engagement in managing special projects, assignments, media relations and crisis communications.
  • Take and draft professionally the meeting minutes for District Improvement Team and other committees and task groups as may be required.

  • Self-starter who thrives and enjoys working successfully with a pro-active mindset in very fast-pace, high profile office.
  • Ability to prioritize assignments from multiple managers.
  • Perform administrative support duties such as, but not limited to, handling telephone/email messages, responding to and drafting correspondence, filing, mailing, scheduling, etc.
  • Maintain a strong work ethic and the highest standards for workplace excellence, abide by all district policies rules and regulations, model SBISD Core Values, maintain confidentiality at all times, and be a collaborative, contributing team player.
  • Ability to produce periodic reports, written materials and related communication.
  • Cover Switchboard/receptionist duties for daily breaks and when substitute is not available.
  • Work Collaboratively with Communications and Community Engagement Division Budget Manager.
  • Perform other duties as assigned.

  • Maintain emotional control under stress.
  • Work with frequent interruptions.
  • This position requires regular in-person interaction with the public.

Physical Demands:

  • Repetitive hand motions.
  • Prolonged use of the computer.
  • Frequent sitting, stooping, bending, pushing and pulling.
  • Moving small stacks of textbooks, boxes, equipment and other campus equipment.
